Greetings
Indian Institute of Technology, Kharagpur is running a project “Creating 
Accessible Study Materials for the Print Impaired Students”. Under this 
project, IIT will identify 50 books from English and Hindi each and 25 books 
from Bengali, Assamese, Marathi and Tamil each. This would be 1st phase  of 
this project and after successful deployment of 1st phase, iit will will 
continue this project with more books and languages.
For digitalization of these books, IIT Kharagpur needs help of agency who can 
can convert books in Microsoft word according to “Save as daisy” 
Specifications. I request all of you to see these specification  and revert 
back to me directly if you or any other NGO/Agency want to do this conversion 
process.

MHRD Sponsored project "Creating Accessible Study Materials for Print Impaired
Students", carried out at IIT Kharagpur.

Quotations are invited from agencies willing to take up the following 
conversion job. They
should provide their expertise and resources available in the particular 
language(s). Initial
training will be provided at four locations (to be decided later) on the above 
conversion job,
agencies willing to participate should indicate.

Scanning/typing from Print books in English, Hindi, Bengali, Assamese, Marathi 
and Tamil.
 
 
Volume of work: Maximum of 50 books each in English and Hindi, 25 books each in 
the
other four languages, average approximate 350 pages per book.
 
 
Basic Steps of conversion for books in English: Scanning, 1st Proofreading and 
Corrections,
Mark up (XML), Final Proofreading and Corrections.
 
 
Steps of conversion for books in Indian languages: Typing, 1st Proofreading and 
Corrections,
Mark up (XML), Final Proofreading and Corrections.
 
 
Specifications for conversion (minor modifications may be made later):

1. Operating System: MS Windows XP or later, support for regional and language
settings must be installed

2. Software: MS Office XP or later with DAISY plug-in (save as DAISY option) OR
Open Office 3.0 or later with DAISY plug-in (save as DAISY option)

3. Typing should be in built in fonts of windows. (No third party software or 
fonts
should be used in typing)

4. The Headings and Sub-Headings should be formatted using built-in Heading 
Styles
(DAISY books support Heading Level only up to level 7)

5. The heading should always be on one line. This line should contain the 
following: The
word "Chapter", chapter number and the title of the chapter. For example: 
Chapter 1:
Basics of Programming

6. The page numbering of the print document should match that of the computer 
file

7. Type the number of each page at the top (do not insert the page numbers
automatically)

8. Abbreviations should be edited to their full forms

9. Header and Footer should be deleted

10. Bulleted lists should be prepared using the MS word bullets and numbering 
feature.
The list with numbering should be generated using the auto number feature of 
the MS
word.

11. Tables should be prepared using the insert table command.

12. Footnotes are to be inserted using the MS word footnote insertion command.

13. All column breaks are to be removed.

14. Alternate texts have to be provided to all images.

15. Special tags will have to be given to following elements

Book title tag: book title or title or heading level 1
Author tag: author (daisy)
Page number tag: page number (daisy)
Note: no other style or tag should be given to above elements

16. Hyperlinks will have to be removed from the whole document

Rates should be quoted for carrying out the above conversion job following all 
specifications,
per 1000 character (including spaces), desired correctness is 99%.
