We did this when we set up exchange and, trying to forsee problems,
instead of putting in the "real" server name we put in an alias (ie the
server was called tconwl2; we gave it a DNS alias of "mail"). This
worked well.

We've now replaced the Exchange server and pointed the mail alias to it.
For existing users this is no problem - we kept the two servers running
in parallel for a while - a user logs on, they get pointed to the new
server and all is good.

When a user (such as the one described by the OP) logs on they ought to
get Outlook configured using the name "mail" but they don't. What the
CIW sneakily does is to translate my carefully chosen alias into the
real name - this means that all the machines pick up a pointer to
tconwl2 which is no longer there.

How can I retroactively change this???

When you install office you could apply an mst file in wich you can
define this..

Have a look at the Custom Installation Wizard on screen 18

here I have entered:

username : %Username%
Exchange: EXCH01.Domain.local 

Now Everytime A new user logs on he connects to the correct mail server
without further configuration..
