Ours is very basic; it is a part of our Publications and Duplication policy. I 
have attached only the requested sections:

Mail Regulations
Guidelines for Addressing Mail - The United States Postal Service has specific 
guidelines for the preferred way to address mail and they are available upon 
request from Auxiliary Services.
Mail Distribution
Mailboxes located in Holding Hall are assigned to individual offices and 
divisions. The division secretary or designee is responsible for collecting the 
mail. Mail should be picked up from these mailboxes on a regular basis, 
preferably twice daily. The Mailroom is a “No Admittance” area; therefore, mail 
should be picked up from the hallway side of the mailbox. Combinations have 
been furnished to the respective staff. If other staff, faculty, or student 
workers are authorized to pick up the mail, it is their responsibility to know 
the mailbox combination and how to use it. Persons having problems with their 
mailbox combinations are responsible for submitting an online Maintenance 
Request to the Facility Services division.
The Auxiliary Services division and Facility Services division will coordinate 
on an as needed basis for delivery of mail and supplies that cannot be handled 
in the routine manner.
Courier Service
Wake Technical Community College participates in the North Carolina State 
Courier Service. The College’s number is 14-79-01. Participating in this 
program allows the College to send correspondence to many community colleges 
and state and local agencies at 45 percent of the cost of first-class mail. 
Offices are furnished with courier books and updates as they are received from 
the Courier Service.
When using the Courier Service, the complete address including street, city, 
state, and ZIP Code must be used. The Courier number must appear on the 
envelope or package and the word “courier” appear on the postal charge slip, 
Wake Tech Form 348 (Postal Charge Slip), when this mail is delivered to the 
Mailroom. Outgoing Courier mail should be kept separate from mail requiring 
postage. Mail received through the Courier Service is distributed through the 
Mailroom daily.
Facsimile Mail Services
A fax machine is located in the Mailroom in the Auxiliary Services department 
for receiving and transmitting official correspondence and reports that are 
needed on an emergency basis. Wake Technical Community College’s fax number is 
available from the Auxiliary Services department.
In order to assure accurate processing of information to be sent by fax, the 
following guidelines should be followed:
§  A completed fax cover sheet along with the information to be transmitted 
should be submitted to the Mailroom for processing. The request should have all 
specific instructions indicated so that there will be no reason for delay in 
processing the fax.
§   It is the responsibility of the individual submitting the request to obtain 
the proper fax number. Requests should include a city and telephone area code 
and number. Two attempts will be made to send a fax. After two error messages 
are received, the Fax and all originals will be returned to the originator for 
verification of fax number.
§  It is important that a good, clean copy be used for transmitting. Originals 
must be 8.5′ x 11′. Information that is printed on both sides of the page 
cannot be transmitted. Front-only copies should be made before sending the fax 
to the Mailroom. Continuous form paper should be separated before submitting to 
the Mailroom.
§  As soon as the information has been transmitted, the cover sheet and the 
original document will be returned to the originating office with a 
confirmation sheet attached.
Transmittals received from outside agencies will be distributed to the 
mailboxes as soon as they are received.
Special Note: This service should be used only when other means of 
communication are inappropriate.
