I’d like to add something after reading Eunice’s email. We don’t keep historical versions on line either. Anyone wishes to see a historical version submits a request to my office. 99.9% of the time the requests come from Legal Affairs.

We require that they be archived with university archives, but that is a newer practice and I am not sure how well it is adhered to. With the creation of a central policy function, we are keeping all historical versions as they are created. When I was the HR policy coordinator, I kept all historical versions because we never knew when we would need them because of legal actions or having to go back and figure out what historical employment action would have been taken at a particular moment of time. While our numbers are heavy (2.5), my folks are fully responsible for our application on the content management tool, creates and revises the website, and manages the forms library (>500 forms). So my second question is this: where are all the forms that are attached to your policies stored? Does this fall within your duties or are the forms on lots of sites, depending on the nature of the form (e.g., all HR forms are on the HR site)?
