Information on Utah Valley University:

1 Where does policy management sit at your institution (Compliance
Office, HR, Other)?

At UVU, the Policy Office is a separate entity. We work alongside the
Compliance Office, HR, General Counsel, etc.

2 Do you use a policy management software? If yes, which one?

No, we have an in-house developed system.

3 How many FTE’s are dedicated to policy management?

        One full-time position (policy officer)
        One part-time position (assistant editor)
        One student intern (part-time)

4 Are these FTE’s specifically a policy management position or is it part
of another position?

The FTE and PTE positions are devoted to the policy office.

Regards,

Cara O'Sullivan, Policy Officer, Utah Valley University

Good Morning,

We are looking at more formalizing our policy administrative structure and were
wondering if schools would be willing to share information, specifically the
following questions. If there has been a formal survey that addresses this
information, maybe someone could kindly point me to where it is available.

I’d be happy to summarize the responses back to the group.

Good morning Erica,
Here are your answers from the U of Mn.

1) Compliance Office, which rolls up to the President's Office
2) We use Drupal, an open content management system
3) 2.5 in the central office, but the 1.5 are the technical people (database
and graphic designer)
4) I think I answered it with #3.

1. Ours is in Finance and Administration

2. We use PowerDMS policy management software – love it so far.

3. We have 2 FTEs (we’re in a critical rebuilding phase as the office had
not had a lot of attention for previous four years)

4. Both FTEs are currently dedicated to policy management, tracking,
archiving, web, etc.

Hello,

We are currently working to update our signing authority and spend
thresholds/limits, relating to who has this authority and/or titles, amounts,
and if available type of spend.

We are interested in gathering this information to be able to perform
benchmarking.

Thank you in advance! -Robin

Hi Robin,
I just have a question on your request. Are you primarily talking about
signing authority on purchasing? For example, our Board of Regents must sign
purchases greater than $1 Million per Board policy.

Here is the administrative policy and procedure that reflects limits.
http://policy.umn.edu/finance/purchasing and
http://policy.umn.edu/finance/purchasing-proc02

We also capture delegations by type of authority (hiring vs. purchasing vs.
research) down to a person. This is available here.
http://compliance.umn.edu/delegationHome.htm

If I missed a nuance of your request, please let me know.

Thanks,
Michele
