Here is a detailed instruction on how to set server behavior when
working in
a POP3 email account using Outlook 2010. This is in response to
an earlier
question from Deborah Kendrick. Note: this is for POP3 only. If
you are
using an IMAP server, the rules all change.
Step by step instructions for adjusting your POP3 settings for
the server.
1. From within Outlook 2010, hit alt F to get to the file
menu, and
then select Options and hit enter.
2. This opens a list of option groups you navigate with
your up and
down arrow. Arrow down to "advanced", but do not hit enter.
3. Use your tab key to explore this group of options. You
have to tab
in quite a ways to find "send/receive". Hit enter on this.
4. This places you into a dialogue box similar to earlier
versions of
Outlook. Your various account groups should be listed. Use your
down arrow
to find your Earthlink or whichever account if it is listed
separately. If
it isn't, then find the main send/receive group. This may be the
only item
on the list. Don't hit enter, rather, tab over to edit, and then
hit enter.
5. This opens another dialogue box with all the accounts
listed in
your group. Arrow up or down to the Earthlink or whichever
account item and
do not hit enter. Tab over to "account properties".
6. This opens a multi tab dialogue box with all of your
account POP3
settings. The cursor will be on the first item in the first tab.
To explore
the tabs available hit shift tab to move backward and you'll be
on the tab
headers. Use your left and right arrow to move across this
headings list.
When you find "advanced" then use your tab key to explore this
dialogue box.
It is the one you want.
7. You will find four different controls which affect how
your email
is handled by the server.
8. The first is a check box which says "leave a copy of
your message
on the server." Unless you need to access the server from
multiple computers
and see the same list of email on each, you can uncheck this box.
This will
then remove the message from the server as soon as you collect
your email.
Unchecking it will also remove the next three controls as they
become
irrelevant.
9. The next checkbox says "remove from server after:" If
you want the
messages stored for a while, but not forever, you can check this
box. If
checked, the next control is important. If unchecked, then the
next control
disappears.
10. The next control is a spin box where you pick how long you
want
messages kept on the server.
11. Finally there is a check box which says "remove messages
from server
when deleted from deleted folder." This should be checked or your
messages
will never go away.
12. Once you have these how you want, hit OK.
13. Hit OK again.
14. Hit close.
15. Hit OK and you are out of the Options section and should be
back in
your email folders.
In my opinion Outlook 2010 has made tweaking your settings a lot
harder than
in earlier versions.
