Bay Area Scala Enthusiasts (BASE) - Meeting 1 - The one not about Scala*

This first meeting was really just a setup session to figure out what
form future meetings would take, time and day and communication
resources (like the Google group:
http://groups.google.com/group/scala-base ).
Agenda

Day/time (second Tuesday of each month, for now) - any clashes, preferences?

For now, the day and time stand. It is possible a slightly later time
(6.30?) might be settled on depending on attendees ability to get to
the Googleplex by the starting time, but for now 6pm on the second
Tuesday of each month is OK.

Venue

Google in Mountain View is fine, but given the desirable format of
future meetings, a room with a boardroom or meeting style setup is
preferable to the eyes-forward presentation room we used this time.
Dick will find an alternative room we can use for future meetings,
assuming a limit of 30 people for the first few meetings.

Format

With a small group, and with limited volunteer time available for
organization, it was agreed that the typical meeting would be more of
a hack-session or show-and-tell focus, informal and with minimal prep
necessary. As time goes on, and the group gets larger (if it does) we
could look into getting speakers lined up, but for now the feeling was
that a gathering to talk about Scala, help each other learn, demo cool
things and maybe do the odd lightning talk or two would be fine.

Gauge interest

We had close to a dozen attendees who showed up for a very short
meeting that they were pre-warned would be an admin only meeting to
get things rolling. Given that response, it looks like we will get
attendees in the double figures even for our first meetings. The room
booked will cope with more than 30 participants for the initial
meeting just in case we get a large response, and if we need a larger
room going forward it can be organized.

Corp support - food etc.

It is typical for user groups held at Google to have food and
refreshments laid on for attendees. This requires extra planning,
corporate approval and of course budget, and it was decided that for
the first few meetings we would not try until we get a feel for number
of attendees and are able to set up a repeating request for such
support. In the meantime, please plan accordingly for meetings (grab
food on the way or plan to eat afterwards - snacks and drinks are
available from Google though in a pinch).

Volunteers to help

Given the simple organizational requirements of the initial format
(show up with a laptop, ready to hack, talk and share) the call for
volunteers was not very insistent. In time, if more organization is
required, we will revisit that and put the call out again as
necessary.

Getting the word out

Please let everyone you think might be interested in the user group
know that the meetings will be held at Google (room to be announced)
in Mountain View, on the second Tuesday of each month, starting at 6pm
(and going on until 8 or 9 - most likely finishing around 8.30).

Name

After some debate we settled on the name BASE (Bay Area Scala
Enthusiasts) as having the best acronym that fit. Plus it sounded
coolest.

Communication

During the meeting we set up a Google group that members can subscribe to.
Because the name "[EMAIL PROTECTED]" was already taken, we called
the group: scala-base

Please subscribe to the group and encourage anyone who is interested
in becoming a member of Base to do so as well
Carl Quinn and Dick Wall are initial administrators. If anyone else
wants admin status (and the responsibility that comes with it), let
one of us know on the list.

Other information
Over the weekend I was messing with Ning (after seeing their stuff at
JavaOne). I set up an initial social network for what I called
http://svscala.ning.com - while the name will certainly need changing,
I wonder if something like Ning might be good for a home page.
Alternatively we could easily set up Google apps for your domain,
using scala-base as the name of the org. Any opinions are welcome on
this group.
Thanks to everyone who came to this first, very short, very
administrative meeting. If you were there, please mention it on the
scala-base group when you join up, as it would be good to have a
record.

(* Note that while the title of this meeting is the one not about
Scala, it seems that Lex and Toby in Atlanta actually did talk quite a
bit of talking about Scala and how great it is. Since they were on
mute at the time, this doesn't count).
