Thanks for helping prep for C++Now 2017!

 

Communication

This year we’ll use a channel on the CppLang team slack as a way of 
communicating with everyone on the Ground Team:

This is a private channel, so if you’d like to help with running the conference 
on the ground, please let Jackie or me know and we’ll add you to the channel. 
The auto-invite to the CppLang team is here:

Add yourself to the team and then let Jackie or me know that you want to be 
added to the private channel.

 

Use the slack channel as the first communication channel, however if something 
is urgent and/or you aren’t getting a response here are some important numbers:

Volunteers

Slack

Please make certain that you have the slack app on your phones and/or the site 
on your laptops. I don’t see Allan, Anthony, or Dyrick on slack, so please use 
the auto-invite link above and then let Jackie or me know to add you to the 
channel.

 

Sched

Some of you don’t yet have photos up on sched.org. Please upload a photo and 
update your bio.

 

Volunteer Orientation

Please make an announcement on the volunteers’ channel when have put your bags 
in your room and are ready to help. Depending on what time you arrive, Jackie 
may or may not have anything for you to do immediately. Here are the things 
that you need to get squared away:

·         Get your volunteers’ shirt

·         Get your photo taken wearing your shirt (Laurie, will you be able to 
help with this?)

·         Get your badge

·         Get a tour of the campus

o    During registration, we’ll want to have you take groups of first timers on 
a tour of the campus, so you’ll need to acquaint yourselves with the campus. If 
there isn’t something for you to do when you check in, ask if there is someone 
that has attended before that can take you around. If possible, join Dave’s 
Facilities Walk Through or the Bash Films Walk Through.

·         Be aware of the time so you can help with Monday Tasks as appropriate

 

Monday Tasks

 

Facilities Walk Through

Dave, if you need any assistance with scheduling this or during the walk 
through, please let me know. If you can announce to #cppnow_volunteers when you 
are about to start, some volunteers may join you.

 

Registration Prep (1PM)

We need individuals to assemble badges, etc. Please meet in the Meadows Resort 
lobby around 1PM. If we haven’t done so yet, we’ll need to have boxes brought 
over from the Physics Center.

 

Costco Unload (2PM)

We need several individuals to help assist Patty unloading from her car into 
Stranahan. Meet at the Aspen Center for Physics reception or Stranahan. If we 
can get four or five individuals, it will be done in no time.

 

Bash Films Walk Through (3PM)

The videographers from Bash Films have not been here before so we need someone 
to show them to all four venues where recording will take place: Paepcke, 
Hudson, Flug, and Bethe.

 

Let’s meet at the Meadow lobby at 3PM and then head to Paepcke and Hudson first.

 

Dave, Bill can you be on hand for this?

 

They’ll want to see the video set up in Hudson. Michael can you have the 
projector set up by then or meet them there?

 

Registration (4-6PM)

Volunteers please plan to be available all through registration (4-6PM). We’ll 
need help with registration, running errands, and leading tours of first timers 
over the campus.

 

Tours

These are the venues that everyone needs to know about (take them in this 
order).

·         Paepcke Auditorium [This is where keynotes happen.]

·         Hudson Commons [This is a breakout room.]

·         Smart Hall 

o    ACP Reception [This is where people can register late, lost and found, 
etc.]

o    Flug Auditorium [This is a breakout room and also used for evening and 
Saturday plenary sessions.]

·         Bethe Hall

o    Library [This is where people can leave there bags when going into town to 
eat.]

o    Meeting Room [This a break out room.]

·         Stranahan

o    Picnic Area [We’ll have a picnic on Wednesday night]

o    Break Area [We’ll have breaks both morning and afternoon here.]

 

We don’t want to take people into town, but you can point them the way to town 
when in the parking lot in front of Aspen Center for Physics reception.
