This Read Me introduces KeySoft version 5.1, the latest innovation in software 
technology for the BrailleNote family of products.  The major new feature of 
KeySoft 5.1 is the completely re-written Planner application, supporting 
recurring appointments, and synchronisation with Microsoft Outlook.

KeySoft 5.1 is a free upgrade for all version 5 customers.  For clients having 
a software maintenance agreement, it will not decrement your SMA count.

This Read Me is divided into 6 numbered sections to assist navigation within 
the document.  The sections are:

1.  Overview.  Provides an overview to the features provided in the KeySoft 5.1 
release.

2.  Documentation Changes.  Discusses the new electronic onboard manuals.

3.  Planner files.  Discusses the files associated with the new Planner, and 
what happens to any "old" Planner files generated by KeySoft 5.0 or earlier 
versions of KeySoft.

4.  Accessing "old" Planner files.  Some recommended practices.

5.  Importing "old" Planner files.  Discusses how to import an "old" Planner 
file that hasn't previously been imported to the new Planner.

6.  Synchronisation with Microsoft Outlook.  A couple of points worth noting.

1.  Overview.

In our opinion, KeySoft 5.1 gives you one of the most powerful planners on the 
market today, yet in the familiar friendly KeySoft style where you don't have 
to grapple with graphical interfaces to get the job done.

KeyPlan in KeySoft 5.1 uses a single database to store all planner entries, 
rather than the separate year files that are used in KeySoft 5.0 and earlier 
versions of KeySoft. The first benefit of this is that the boundaries between 
years no longer exist. If you wish to reschedule an appointment from 2004 to a 
date in 2005, this is easily done.

When you make appointments, you can now specify an end time, as well as a start 
time, for appointments. This allows you to block time in your Planner, and you 
will be advised if you attempt to make an appointment which conflicts with an 
existing one. You can choose to accept the conflict or reschedule one of the 
appointments. The end time can be on a date that is different from the start 
date, allowing you to schedule appointments that span more than the one-day.

KeyPlan in KeySoft 5.1 allows you to specify the location of an appointment, to 
mark time as free, busy, tentatively scheduled, or out of the office. Some 
minor changes, such as the Next Appointment feature that now advises you how 
many appointments you have remaining today, make the Planner even more useful.

And most significantly, KeyPlan will support a wide range of recurring 
appointments. You can schedule your appointment according to dates, or patterns 
of days, weeks, months or years - for example an event may be on the 25th of 
every month, or on the third Thursday of every month, or every 25th of March, 
or every day at 9am, etc.  There is a pattern of recurrence to cover just about 
every type of recurring event you could think of.

A new version of KeySync, version 1.1, will mean that you can synchronize 
appointments with Microsoft Outlook.

We've also added the much-requested Word Count feature to KeyWord, allowing you 
to determine the number of words in a document without having to perform a 
spell check on the document.  For Braille keyboard machines, this is obtained 
by pressing Space with I from within KeyWord, and for Qwerty machines by 
pressing Control with Read with I.  This will take you to an Information menu, 
which in addition to allowing you to get the title of the document now lets you 
obtain a Word Count.

2.  Documentation Changes.

You are strongly encouraged to use the electronic User Guide to "read-up" on 
the changes introduced in KeySoft 5.1.

Chapter 9 on the Planner has been rewritten to reflect the much-enhanced 
functionality provided by the new Planner, and the Command Summary also 
incorporates the associated new commands.  Appendix G now covers 
synchronisation of both the Address List and Planner with Microsoft Outlook.

As well as those substantial changes, we have also taken the opportunity to 
improve the accuracy and pertinence of the electronic index entries.

3.  Planner Files.

We will now look at the files associated with the new Planner, and what happens 
to any "old" Planner files generated by KeySoft 5.0 or earlier versions of 
KeySoft.

As this Read Me file is installed as part of the KeySoft 5.1 installation 
process we will assume that you have already imported those "old" Planner year 
files that you wished to carryover from KeySoft 5.0.

First, let's look at the files associated with the new Planner application.

As for the previous planner, all files associated with the Planner are stored 
in the KeyPlan folder on the Flash disk.  There are 5 files:

Planner.dbf  This is the main Planner database and it's size will grow as you 
store more information in your Planner.  Don't be concerned that the database 
size will become excessively large if you create many recurring appointments.  
This will not happen as the indexing system is designed to minimize database 
"bloat".

Planner.dbt   This file contains the field names used in the Planner database.

Planner1.ndx   This is an index file and facilitates timely access of Planner 
information.

Planner2.ndx  This is also an index file.

KeyPlan.ksd  This is the KeyPlan Definition File and contains user settings 
relevant to the operation of the Planner.


Let's now look at what happened to your old Planner files.

During the installation of KeySoft 5.1 you would have been asked if you wished 
to import the old yearly Planner files into the new Planner database.  
Irrespective of whether you chose to import them or not, all of the old Planner 
files have been saved in the sub folder "Old Planner Files", located in the 
KeyPlan folder.

To refresh your memory, the old Planner files were named according to the year 
they represented.  For example, on a BrailleNote BT the 2003 planner file would 
have been named "2003 planner.kpb"  If you have a unit with a Qwerty or 
computer style keyboard, the file would be named "2003 planner.kpt".

Remember, that if you wish to view these "old" Planner files you will have to 
use Directory mode to navigate to the "Flash Disk\KeyPlan\Old Planner Files" 
folder.  In the next section we'll discuss why you may want to do this.

4.  Accessing "old" Planner Files.

Please keep uppermost in your mind that the new Planner stores its information 
in a completely different manner to the "old" Planner system.

The purpose of the import process initiated following the installation of 
KeySoft 5.1, is to automatically convert the data in the "old" Planner year 
files into the new database structure required by the new Planner.

If you chose not to import say your 2003 Planner during the installation 
process, and now you find that you wish to do so, you should follow the process 
outlined in the next section "Importing old Planner Files".

You may think that the "quick" way of getting to your old 2003 Planner is to 
reset your BrailleNote back to its ROM version of KeySoft, thus going back to 
the old Planner system.  Without going into the details of why you shouldn't do 
this, we will simply state DON'T DO IT!

5.  Importing "old" Planner Files.

Let's assume that when you installed KeySoft 5.1 you only decided to import 
your "old" 2004 planner, but you now also wish to have access to the "old" 2003 
planner information.  Here is a brief summary of what you have to do.

5.1.  Select the "Move File" option from the File Manager, and after selecting 
the Flash Disk, enter Directory mode when you receive the "Folder name?" prompt.

5.2.  Navigate to "Flash Disk\KeyPlan\Old Planner Files" and select the file 
"2003 planner".

5.3.  Select the destination path by navigating to "Flash Disk\KeyPlan", and 
press Enter to move the "2003 planner" file.

5.4.  Reset the BrailleNote with no keys held down.

5.5.  When KeySoft 5.1 restarts it will detect the presence of the "old" 2003 
planner file and ask if you wish to import it.  Choose yes.

5.6.  The information from the "2003 planner" file will be imported in the new 
Planner, and the "old" 2003 file will be automatically moved back into the 
"Flash Disk\KeyPlan\Old Planner Files" folder.

6.  Synchronisation with Microsoft Outlook.

Before attempting to synchronise your Planner with Microsoft Outlook, you must 
make sure that you have installed the latest KeySync Server package on the PC 
side.  The new version is 1.1, and is available either by download off the SDW 
site or from the version 5.1 BrailleNote Family CD.

If you haven't previously installed KeySync Server on your PC, you should be 
aware that the files required to support the dot net framework are large, and 
if they are not detected as already being installed on your PC, you will be 
offered the option to download them. This would only be advisable if you have a 
broadband Internet connection.  Alternatively, obtain a copy of the version 5.1 
BrailleNote Family CD from your distributor, as the dot net framework files are 
included along with the KeySync PC server set-up program.
