Work on organization - Allow people take the lead for tasks, areas, or
activity's - Provide the list of leads to all other leads and volunteers, so
they can work together with out being forced to deal with one bottle neck, that
may or may not respond to calls or emails.
- All these leads and the tasks areas they are leading need to be listed on
any web site, flier, and meeting notes. That way if others are trying to
reach some one they are not reduced to calling the one and only phone number
that is listed on all BVARC docs, webs site that always goes to voice mail.
- If you are a lead, have a plan, with back ups, of what ever you are leading.
- Some examples of bad past planning
- Planning meetings being moved around all the time and as there
was no list of volunteers, people were left off the meeting invites
- PA system arrives 2 hours after start of event. - 2nd day of the
event and people still asking how to pay for their tables that should have been
paid for before they even allowed to setup
- The event was over but the lead of the tear down group spent
over 90 minutes on the phone trying to find out what needed to be done. Due
to this several volunteers gave up and went home. Once breakdown did start
the instructions were unclear and not complete. As a result to many tables
were broken down and put away, had to be set up again.
Just my take on things, do with it what you wnat.

realized that I am on the right path, just that everyone words it differently.
We have the contest guy - they want pointsWe have the social guys - they want
to be with their kind
andWe have the guy who - let me show them what I can do.
With those thoughts in mind, I propose the following1) bring the GOTA station
to the main area - maybe in what I call the Fish Tank or the main entrance2)
make the conference are the class room3) have people to volunteer to bring Home
Brew items to display on entrance4) have a 1 hr block for people to describe
their Home Brew5) We have someone designated as the "Youth Mentor" -- This
person would be dedicated to welcoming youth that come and maybe introduce them
to members and eventually become a point of contact for them6) We have a 1hr
block for those who do our "Engineering" and make sure things work, take credit
for their work and describe a bit of what they do.7) Also have a 1 hr block for
Q&A and let our group share knowledge on the question or even maybe have a
lookup on web time.
With those steps, I hope people see what we do better and give others that are
behind the scene a chance to thump their chest..Heck, maybe even Daphne and
team can talk about cooking for a large group .. Maybe????
I plan on bringing a projector to shine on the wall, so we can all see what is
going on on a computer that will be stationed in the main area too.
Now with that said -- does anyone have any thoughts? (BE NICE!!!! I know there
is a guy watching this reflector. ) And please do not hold back anything, I
want this year to be the year of BVARC.
And if you have thoughts about what Field day is, please let me know - let's
try to see where that fits in too.
