We had the same problem with people emailing files to each other then
either (1) no one reading the emails or (2) getting files lost or
deleted, never to found again.

We created a file sharing intranet for our internal issues and then a
separate extranet site for each of our clients.

For the extranet, we set up a Job Status page that our project managers
administer.  They will "open" a job with description, status and
delivery date information.  This page gives everyone an "quick glance"
overview of all open jobs and the status of each.

Then either the client or anyone on the team can upload/view files that
have been uploaded to a particular job folder.

Now anyone involved with a particular client can always jump on the
extranet to see the latest files, status and information concerning any
open job.

Depending on the client and their particular needs, we have also set up
additional pages that can include team info (names, titles, email
addresses, direct extension), standards guide and logos for downloading.

And the best part is that because the entire site is build using
templates, we can set up a new client account by simply changing the
client name and ID in the application file.

It's worked really well for us and the clients seem to like it.

Email me and I can send you some (non-proprietary) screenshots and let
me know what you think or if what we created is something that you were
thinking of.

Subject: OT: Intranet

This is a little off topic but I'm considering building our company an
intranet. Right now the biggest problem I see it will eliminate is
people emailing image files to each other. Yes, I know, they could save
them on the network but we are dealing with very novice computer users
for the most and I believe an intranet that tells them to click here to
do this, etc...

My question for all of you is what other functionality do you have built
into your intranet that I might implement here to make our company more
efficient?

Thank you all for taking the time to answer, I know you have better
things to do than sit around answering emails!

Donna
