Maybe you can learn something from what we did at openoffice conference:

http://ooocon.kiberpipa.org
http://ooocon.kiberpipa.org/articles/media/

And remember to put emphasis on:
 - workflow management.
define workflow exactly. and follow it exactly.
so less able can follow the workflow and more-able can have time to
improve it.

 - partly-working hardware is as good as non-working

 - have a network admin inside your group, his only responsibility
should be network and services, not video

 - have a web master inside your group, his only responsibility should
be web presence of video, not video itself

Many conferences do great job at recording vidoes, lousy job at putting
them on the net and cathastrophical job at presenting and promoting of
what they make available on the net.

take time and create great interfaces to access your video via web, and
people will watch it.

also media coverage is a complete project, it should be managed as a
whole, not video separately, DTP separately and web separately...

... and take time and do 10 submissions to slashdot, until it gets
published, it is a great moral booster for everyone in the team. prepre
infrastructure for the worse.
