Hello everyone;

As promised at the last meeting I will attempt to explain what have been the 
duties and the responsibilities of each of the core Executive members over the 
last 2 terms.  Some of these duties come from the bylaws (noted with **) and 
some are just what has been delegated by necessity.  I will include some 
personal comments to the recent discussions regarding the nominations to the 
position of President at the end of this email.

President:

**He/she shall when present, preside at all meetings of the Guild and of the 
Executive Board.
> has attended functions and meetings where a member of the Executive was 
> required (ie; Convergence, CUUG Open House, etc)
> has been responsible for the printing of all membership cards and other print 
> material including the CLUG brochure and the AGM/Installfest notices
> has been responsible for the maintenance and upkeep of the CLUG website to 
> insure it is secure against unwanted intrusions and corruptions
> has been responsible for maintenance and upkeep of the CLUG mailing lists 
> including reviving the main list manually when it was removed by an unknown 
> source.
> has been responsible for securing new sponsors and continuing to form better 
> relationships with current sponsors
> has been responsible for ensuring any special interest groups continue to 
> enjoy close ties with the main CLUG membership
> has been responsible for the organizing of some installfests and other 
> workshops and attending same
> has been responsible for the facilitation of the Question and Answer period 
> at the end of monthly meetings.

Vice-President

**In the President's absence, the Vice-President shall preside at any meetings 
of the Guild and of the Executive Board.
> has been responsible for securing presenters for topics at monthly meetings
> has attended functions and meetings where a member of the Executive was 
> required (ie; Convergence, CUUG Open House, etc)
> has been responsible for securing commercial/business presenters and sponsors 
> for monthly meetings and special events.
> has been responsible for assisting in the organization of Installfests and 
> other special events and attending same
> has been responsible for the facilitation of the Question and Answer period 
> at the end of monthly meetings.

Secretary

** Shall attend all meetings of the Guild and of the Board
** Shall keep accurate minutes of the same.
** He/she shall have charge of the Seal of the Guild,
** Shall have charge of all the correspondence of the Guild
** Shall be under the direction of the President and the Board.
** Shall also keep a record of all of Tier Two (2) Members of the Guild and 
their addresses
** Shall send all notices of the various meetings as required
** Shall collect and receive the annual membership fee of the Guild
** Shall also keep a current inventory list of donated monies and materials as 
well as an inventory list of all Guild property and the location of those items
> has been responsible for requesting donations and other items for door prizes 
> for special events (Convergence) 
> has been responsible for sending Thank you notes and Christmas cards to 
> sponsors and others
> has been responsible for keeping an account of the names and addresses of 
> those sponsors and other important contacts for CLUG
> has assisted in organizing installfests and special events and attending same

Treasurer

** Shall receive all monies paid to the Guild and be responsible for the 
deposit of same
** He/she shall properly account for the funds of the Guild and keep such books 
as may be directed
** Shall present a full detailed account of receipts and disbursements to the 
Board whenever requested
** Shall prepare for submission to the Annual General Meeting a statement duly 
audited of the financial position and...
** Shall submit a copy of same to the Secretary for the records of the Guild
> has assisted in organizing installfests and special events and attending same

** NOTE: please be aware that meetings of the Executive Board shall be held as 
often as may be required, but at least once every quarter (every three months), 
and shall be called by the President.


Now for my comments and as I have just read what the outgoing President has 
written I will expand a little on what I was going to say.  

I too am quite happy with what CLUG has become in the last three years.  I 
remember as a nube coming to the first meeting and being afraid to ask 
questions.  Then a year or so later attending another fairly impromptu meeting 
at Nexus and feeling I wanted to become part of that community and I remember 
enjoying the presentations (even if I didn't understand it all).

When I look around now, whether at a monthly meeting, on the mailing list, or 
at an installfest I see (and read) people who only a few years ago may not have 
felt comfortable to ask questions.  I have seen people come and bring their box 
to an installfest even though they really had no idea what Linux was but wanted 
to use it.  I believe that this group has been able to create an atmosphere of 
acceptance and understanding and although it may have always been there, maybe 
it was hidden by the 'geek mystique".

Okay enough reminiscing... now onto what I wanted to say about the Presidential 
nominations and the other positions.

You can see above that the positions that appear to involve the most work (on 
paper anyway) are the Secretary and Treasurer.  Their positions and 
responsibilities are laid out pretty plainly in the bylaws.  They are important 
positions and although they may appear to be the most time consuming... I 
believe (after being involved with more than one volunteer organization) that 
looks can be deceiving.

The truth is that the positions of President and Vice President are what that 
person makes of them.  These two positions are really the visionaries of the 
Executive.  Although the Exec works together as a group the Pres and the Vice 
really set the tone for the focus of the group.

That being said... I would urge Niels to accept the nomination for President.  
I believe that the presidential candidates and the Vice Presidential candidates 
should have platforms.  This should not be a popularity contest but more a vote 
on the future focus and direction of the group.  Niels point about the future 
being discussed at the AGM prior to the election is not the best idea as you 
are - at that time - being run by a majority of outgoing executive members.  
Instead the candidates should be bringing forward their "vision" of the future 
of CLUG.  Then when the time for the election comes YOU are VOTING for the 
future you want.

I would urge anyone who feels that they would like to throw their hat in the 
ring for any position BUT specifically for the President and Vice President 
positions please contact me off list and I will be happy to discuss it with you 
and forward your nomination to the group.  I can think of many good people who 
have been active members of the group who could make a real difference in the 
next Executive 

I apologize for the length of this email but I do hope that we will see a real 
race in the next few weeks and then the group will truly have the tools to 
decide where they want CLUG to go and what they want it to be.
