(From Wendy Clark at the Texas State Library) Public Libraries will be receiving a packet with printed instructions and the username/password necessary to complete the Texas Public Library Annual Report in the mail from the Texas State Library. The mailing will take place late this week so libraries should begin receiving the packets early next week. The instructions (below) are only a very partial list of things librarians need to remember when completing the annual report. Several of the regional systems are conducting training in the next weeks. Please plan to attend these training opportunities. When reviewing the instructions in the packet, librarians will see that we are directing them to the Texas State Library website rather than the CD-ROM or libraryplace.com website they may have used in the past.
A brief overview of the Texas Public Library Annual Report Survey Process: 1. The Annual report form is found at:http://www.tsl.state.tx.us/ld/pubs/pls/index.html <http://www.tsl.state.tx.us/ld/pubs/pls/index.html> 2. Then click on Submit your 2001 Texas Public Library Annual Report Form here! </ld/pubs/arsma/index.html> 3. Then, click on http://collect.informata.com/ <http://collect.informata.com/> 4. Log-in using your assigned username and password from the Texas State Library packet 5. Print out the instructions and review them 6. Print out the survey form with the library's answers from last year. File this report with the library's 'important papers'. Please note: It is possible that the librarian will find modifications in the report from what they originally submitted. The Texas State Library may have modified the report in order to meet our reporting requirements. If you library did not report to the Texas State Library last year, you may only find a basic number of the answers pre-filled. 7. Review the answers from last year. If the answers remain the same, you do not need to type anything in the 'cell' or box next to the question. Every data entry box must be complete before the survey is submitted to the state library. If the question does not apply, the Librarian should enter not applicable-- "N/A"-- in the box. Librarians can use the 'tab' key on their computer keyboard to move within each section. 8. If the answer is different, please type in the new answer and explain why the answer is different in the note pad (it looks like a piece of paper off to the side of the answer box or 'cell'). The librarian will use the notepad whenever their answer is significantly different than what they reported to the Texas State Library the previous year or if the answer they provide generates an "Edit Check" . To use the notepad: Click on the notepad icon next to the question. Your notes will be included with your responses on the annual report survey. 9. If the librarian is unsure what is meant by a question, they should click the question number for an explanation. Questions which appear in dark red are totaled from your input. In order to get the new totals you must click Update. You cannot change these totals, except by changing the initial answer. 10. Whether any of the librarian's answers changes or not, the librarian must click 'update' at the bottom of each page as well as the final page of the report so that the report is received by us. Please remember to print out the survey before submitting and 'locking' it. 11. If the library is a member of one of the ten regional library systems or is seeking initial membership into one of the systems: please remember to complete your system membership application and send that in, too.
