plan! Get a large copy of the shelving diagram as it will be in your new
configuration. Work with another person who is familiar with the collection. Number
each range and side and section – I A 1,2,3,4,5; I B 1,2,3,4,5; II A
& II B, etc.( if a shelf is against a wall, there is no “B”
side). Measure the number of linear inches you
have of each type of material (465” of E fic, 580” of videos, etc).
Place your existing material measurements on your shelf diagram in the place
you think you want that material
type to go. USE PENCIL –
you will change your mind! Try to cluster materials for a particular age group
together: E level in one area, Juvenile level in another, Young Adult in
another, etc. The exception is Spanish Language materials, or a particular
material type like CD’s; you may choose to leave these all together,
because of the way they are used. Do not plan to fill your shelves more than
50% full (less if you have a significant amount of money to spend on your
collection during this remodeling phase). Unfortunately, you will have to box your
collection prior to moving it. People may tell you to shrink wrap and move the
shelves full, or get a large number of rolling carts, but DON’T BELIEVE
THEM. These are probably not realistic solutions. Use standard size boxes, not
too large, and number the outside of each box with the expected shelf location
and span of material enclosed (E fic Abe – Bla). Lay the books face up in
the box, in shelf order, starting at the left of your shelf and going right. You
should be able to get two stacks into each box. There will be an occasional
oversize book; put those on top of your two stacks or along the sides of the
box. The whole idea is to KEEP THE BOOKS IN ORDER. When you’re ready to unload the boxes,
find all the boxes that belong together and place them in the order they will
go onto the shelves, going from left to right along the row. You will
place them in one 48” wide section at a time: left to right, top to
bottom. Place the books on the
shelves in reverse order from the way they went into the boxes (i.e. from right to left as you unload the box).
Shelf read as you go, correcting any errors in placement before you start on
the next box. If you have lots of helpers, check their work! You’d be
surprised how many people really don’t understand how books are supposed
to be placed on the shelf. CTLS has a book entitled Library
Relocations and Collection Shifts by Dennis Tucker, C025.81 Tu, when you’re
ready for more info. I hope this helps, Jennifer Patterson From: Suzan Nyfeler
[mailto:[EMAIL PROTECTED] Friends-- The Maffett Library in Groesbeck will be getting an addition
soon and will thus shift the entire collection. The staff will spend
the next 6 months getting her collection ready (weeding) and cleaning out the
building of unnecessary furniture, boxes, etc. Please help
Rhonda Bass, the new director, as she begins this new adventure. If you
have shifted and moved shelving and collections, please weigh in with your
experience, advice and words of encouragement. You can respond directly to her at [EMAIL PROTECTED] or
to this email, which will send your good words out to the list. Many thanks. Suzan Nyfeler Youth Service Specialist 512.583.0704 x17 FAX 512.583.0709 - - - - - - - - - - - - - - - - - - - - - - - - - - - - - -
