HELLO CENTRAL TEXAS ILL’ERS
Overdue notices went out yesterday. Included with the regular overdue notices are the “Extremely Overdue” notices which result in a block for customers who receive them. Again, I must emphasize we remove the blocks for area libraries. ILLiad automatically blocks customers with long overdue material, but we remove the blocks after the notices go out for our area libraries. This is done individually to each area library account. Please be patient while we clear the accounts.
Also, I noticed there are a few libraries, not many, who have received several Overdue/Block notices. As a remainder, it is the responsibility of each area library to follow up with the lending library on none receipt of their ILL material. Once you have resolved the problem, you must let us know the status of the item so we can update the record in ILLiad. If you are paying for a lost item, let us know so we can make a note on your account and change the status to finish. If the lending library agrees to send a replacement let us know so we can change the due date. Making changes in the status of the item in ILLiad will remove you from the blocked list. Doing nothing does not change your situation.
If you need contact information for the lender give us a call and we will get that information to you. If you are working with the lender or customer but have not resolved the problem, let us know and we can make a note on the record and change the status so that you do not continue to receive Overdue/Block notices.
Bottom line if you have a seriously overdue item, take action. If you never received the item, sending us an email that says, never received does not resolve the problem. You must take action by contacting the lending library. The National Interlibrary Loan Code makes borrowing libraries responsible for material shipped even though it has not been received at your end. So it is important that you contact the lender.
If you returned the item, simply hit reply to the email and enter ‘returned’ in the body. We will update the transaction on ILLiad and you will not receive any more ILLiad notices.
Keep in mind you may still receive overdue notices from the lenders. If you continue to receive them weeks after returning, I give it one month here, then contact the lender.
The basics of managing ‘overdues’ are the same. The ILL Manual posted on the CTLS website goes over them. There are other issues to consider in light of ILLiad. However, contacting the lender for non receipt or lost material has not. Communicating with us to update the ILLiad transaction is a new step. So let us know so we can update your transactions for overdue items.
Any questions or problems let me know. If you need copies of previous emails sent out regarding the new ILLiad system I will be happy to forward them to you. If your library does not receive these updates directly let me know so I can add you to my router. I send all emails to the CTLS listserv to cover the central Texas system.
