For anyone that was planning on helping setup on Thursday, there won't be much to do. for 100 reasons I pushed the equipment delivery to Friday.
Here is what can happen, but jit optimizations are likely, as are delays. The HARD DEADLINEs are when talks start, and that will not change. Friday 09:00 equipment delivered 09:00 - 11:00 2 hours setup room 327/328 (combined into one room) 11:00 - 13:00 2 hours lunch 13:00 - 15:00 2 hours setup room 329 15:00 - 17:00 2 hours setup room 338 (exact room number subject to change) 17:00 - 18:00 1 hour test streaming, file server, work out upload details 18:00 - 20:00 2 hours dinner - 6pm to 8pm = 18:00 - 20:00 Saturday 09:00 - 12:00 3 hours setup ballroom (pull some equipment from 1 of the talk rooms) 12:00 - 14:00 2 hours Video training in ballroom 14:00 - 15:00 1 hours tune encoding parameters 15:00 - 17:45 3 hours VIDEO TALKS plenaries in ballroom (HARD DEADLINE) 17:50 - 18:00 10 minutes post production training 18:00 - 20:00 2 hours dinner - 6pm to 8pm 20:00 - 21:00 1 hours remove equipment from Ballroom, put back in talk room Sunday 09:00 - 10:00 1 hour finish hooking up equipment moved from ballroom 10:00 - 11:00 1 hour (empty) 11:30 - 13:00 1.5 hours lunch 13:00 - 13:25 1/2 hour more training in 327 13:30 - 17:45 3 hours VIDEO TALKS in 3 talk rooms (HARD DEADLINE) The machines were setup and used at PyOhio a few weeks ago, so the only config that may need to happen is IP assignment if there is no dhcp, and change room=room_338 if that changes. "setup room" means determine where everything will be placed - lectern, tripod, table for mixer and laptop, cables. put it in place, tape down the cables. maybe change configs. pull some equipment from 1 of the talk rooms = unplug some cables, and maybe carry the table to the ballroom. I have done this enough times that I could do it by myself in the alloted time, but I would enjoy some company and it will be good to have others familiar with the setup. So don't feel obligated to help if you have something else to do, If want to read about and maybe try out the system and help process the lingering Fosdem videos (you just need your browser) https://wiki.debconf.org/wiki/DebConf14/Videoteam/Veyepar -- Carl K
