To the organization: we generally use livestream.com, you can create a free account and then put a simple laptop with a webcam in a corner (has to come with Windows to use the desktop streamer), and people can then follow the meeting online (and you can also record it).
This is as easy as creating the account, downloading the desktop app, configuring the webcam a bit, clicking a big red button that says "Go live" and then put the URL to the event (or even an embed) on the Chamilo website (or even on the campus if you pass me the link to the channel one day before that).
