PURPOSE:

Under the direction and supervision of the PEL Principal, the
Registrar
will perform general administration on student's registration and to
maintain students' data/records filing.

QUALIFICATIONS

1. Indonesian citizen

2. University graduate

3. Three years experience in administration work or
secretary

4. Knowledge of modern office practices and procedures,
including filing systems and telephone techniques

5. Proficient English and Indonesian

6. Proficient in standard computer software use (MS
Windows,
MS Office, and database)

7. Typing 50 wpm

8. Good personal communications skills; meets the public,
staff, parents and students tactfully and courteously and answer
questions correctly in person or over the telephone

9. Ability to keep accurate records and confidentiality

10. Ability to understand and carry out oral and written
directions

11. Helpful, cooperative


DUTIES & RESPONSIBILITIES

ENROLLMENT

1. Assumes primary responsibility for internal organization of  all
P-5 registration at Pattimura Elementary

2. Structures follow-up system on incomplete or inaccurate
registration of new and former students

3. Processes registration of all new students at Pattimura.
Responsible for entering data on SASI/ORACLE and maintaining
registration system, updating data and producing spreadsheets, as
needed. Interpret routine policies and placements and registration to
new parents and hands out Parent Handbook, school brochures and any
other necessary information

4. Keeps up to date on changes in SASI/ORACLE system and informs
other secretaries

5. Prepares information of new students for Counselor for
testing/screening purposes

6. Produces weekly reports on:

a. Accurate Class statistics report
b. Total of current enrollment and withdrawal reports
c. Enrollment statistics for controlling class sizes (send report
every week to Headmaster Office, Business Office, Admission Office,
and PIE Registrar also around PEL Campus like Principal, Counselor, Buss
Office, Library and Nurse)

7. Makes survey on returning and not returning students every April and produces next school year enrollment prediction based on the survey results

8. Prepares yearly reports on:
a. Total of current enrollment and withdrawal reports
b. Total new enrollment as per requested

9. Prepares any kind of report requested by the supervisor

10. Students' absentee folder (2 times a year)

11. Types, updates and maintains daily attendance (teachers and  staff)

12. Processes student transfer (withdrawal letter), including to PIE

13. Processes temporarily Leaving Students

14. Obtains teachers' summer address, student's forwarding address,
and other data activities

15. Makes a list of the substitute teacher's report at the end of  the
month and send it to Business Office

16. Makes a class list

17. Makes lists of all students (PS - Gr. 5) by alphabetical order
with grades-teachers and parents name

18. Makes lists of sibling students (PS - Gr. 5)

RECORDS

19. Creates permanent cumulative folders of new students

20. Writes to other institutions for records of new students when
needed and sends students' official school records as required

21. Helps parents with school records requests

22. Is Responsible for all existing students folders and keeps them
filed in order and up to date

23. Prepares leaving reports and processes files when students
withdraw or move on to Middle School


OTHERS

24. Monitors the accuracy and completeness of the attendance sheets
before submission to the Human Resources Department

25. Schedules Parent-Teacher Conference (Sibling for specialist
teachers & class teacher)

26. Prepares food for welcome new teachers, open house, concert,  etc.

27. Helps PTA if needed

28. Learns and applies pertinent JIS procedures and regulations with
good judgment in a variety of situations

29. Establishes and maintains cooperative, positive working
relationships with those contacted in the course of work

30. Performs other duties as directed and assigned by the Principal

Other: JIS employees will be given priority
