SIERRA CLUB JOB DESCRIPTION
Job Title: Field Administrative Coordinator
Reports to: Northwest Regional Director
Department: Conservation ? Seattle, WA
Context: Coordinates and administers the financial and business
operations of a field region.
Scope: The Field Administrative Coordinator is responsible for
coordinating all office financial and administrative services
within a field region, including financial and administrative
oversight of all regional field staff and programs. Provides
administrative support to field staff. Plans and coordinates
meetings and events, writes and distributes communication
materials.
Job Activities:
1. Administers, coordinates and tracks regional finances and budgets.
Tracks regional restricted revenue. Administers regional operating and
project budgets. Works with OEP and Finance Department to file timely
financial reports. In coordination with Regional Staff Director, ensures
employees comply with all financial and administrative requirements.
2. Assists and participates in recruiting and interviewing office
interns and volunteers. Coordinates the planning and scheduling of work
assignments.
3. Provides administrative and special project support for the Regional
Director.
4. Plans, organizes, communicates and coordinates training and meeting
events.
5. Provides program and administrative support to regional field staff.
6. Works with vendors and arranges for outside services to ensure office
operations.
7. Performs miscellaneous duties as assigned.
Standard Overtime:
The Sierra Club workweek is 37.5 hours. However, this job requires
occasional overtime to meet special deadlines, projects and other staff
absences, or emergencies. May require occasional weekend work. Under
these circumstances, overtime will rarely exceed 5 hours weekly, or 15
hours on a monthly basis.
Knowledge and Skills:
- -- 1-2 years of office administrative and bookkeeping experience.
- -- Proficient with Microsoft Word, EXCEL and accounting software (Quick
Books, Quicken). Knowledge of database record keeping systems and desktop
publishing.
- -- Ability to work tactfully and effectively with staff, volunteers, the
media and the general public.
- -- Strong organizational, verbal and written communication skills.
- -- Comfortable working in a team structure.
