Job Description for the Graduate Program Coordinator The graduate program works with postgraduate level participants from universities, research institutions, and all types of organizations to strengthen field research skills in tropical areas. The programs engage students in formulating viable experimental design research questions, collecting data, analyzing and presenting oral and written presentations through their highly regarded OTS "field problems" approach. The courses provide hands-on experience in plant research, eco-physiology, microbial ecology, general ecology, molecular ecology, remote sensing, rapid biodiversity inventories, and other cutting-edge topics depending on the chosen course. Qualifications and Requirements
· MSc. or more in Biology, Ecology, Landscape management, Natural Resources Management, or similar. · Other skills: Marketing and Budget Design and Management. · Staff management · Fully Bilingual Spnaish/English. · Advanced knowledge of Microsoft Office tools/internet tools/social media · Extensive knowledge of Costa Rica * Knowledge of higher Education systems in Latin America and the United States · Research experience in the tropics, particularly in Costa Rica * Experience in Budget design, Project management, risk management * Knowledge on international research by other institutions; skills to recruit national and international scientists in our programs * Experience in team work * Able to work flexible hours and visit OTS stations Responsibilities 1) Coordinate the operational processes of fundamental and the sort field courses. 1.1 Answer queries or suggestions, calls or e-mails, from faculty, students, internal and external collaborators 1.2 Development of an annual graduate calendar. 1.3 Review the Participant Orientation Package and keep it up to date with the information. 1.4 Identify and direct the coordinators of each course (on time and in form including the generation of academic content, ie syllabus, itinerary, list of invited professors and budget). 1.5 Support the administrative assistant in the process of purchasing air tickets for coordinators and invited teachers. 1.6 Provide support in case of emergencies or diseases to the student body from the offices. 2) Conduct marketing and recruitment processes. Assist in the preparation of recruitment materials and development of the graduate program website: 2.1 With the support of the administrative assistant ensure that the information on the website is up to date with announcements of upcoming courses. 2.2 With the help of the administrative assistant, prepare information for E-canopy on graduate courses. 2.3 Send periodic messages to OTS delegates to recruit students from member institutions. 2.4 With the help of the administrative assistant, answer emails to guide and encourage those interested in applying to courses. 2.5 With the help of the administrative assistant, send recruiting emails to alumni contact lists, "list-serv" mailing lists, teachers who have taken part in previous courses, and any contact that may be of interest to the information. 2.6 With the help of the Social Network Team, program the marketing of the courses in the social networks maintained by OTS. This includes but is not limited to making flyers, jpg images, and short videos. 3) Be part of the selection committee of participants for the fundamentals and short field courses 3.1 Select the members of the selection committee composed of a minimum of three people: the coordinator of the postgraduate program, the coordinator of the course in question and the co-coordinator of the course in question. 3.2 Supervise the compilation of applications and their distribution to the selection committee. 3.3 Direct and participate in the selection of students. 4) Ensure the courses incorporates an evaluation process to contribute to the continuous improvement of the program 4.1 Ensure that the safety guidelines in the courses are understood by the personnel who execute the courses in the field 4.2 Confirm itineraries and coordinate the execution and follow-up (e.g. reservations and logistics) with the administrative assistant 4.3 Visit courses in the field when necessary 4.4. Follow up on issues arising from course evaluations and final course reports. This tracking includes communication with various departments such as financial, computer, reservations, transports, stations, etc. 5) Plan future courses and define objectives and medium term goals 6) Generate and administer the anual Budget for the Program and each one of the courses 6.1 Report Budget development and control its execution. 7) Contract development 7.1 Send contract applications to Human Resources Department when needed for hiring faculty for the courses. 8) Prepare Board Book Graduate Program Chapter 8.1 Prepare the document in the format established with the description of the most relevant activities and events of the year to be reported, as well as data on numbers of students, courses carried out, assigned study and research grants and any other information requested.
