I believe that it's better to have functional mailboxes for functions that
continue after the people have left. It's much easier to reassign the task
and the e-mail that way.

When you add a the terminated users SMTP address to an active user, that
active user doesn't have an easy way to see what address the mail was sent
to. It looks like the mail was sent directly to them. They'd have to look
at the headers and look at the To: field.

You can use the forward option, which maintains the name of the terminated
user in the To line of the actual message in Outlook, and requires not
looking at the headers.

I agree it's better to have mail directed so an actual person can get to it,
and not require an outside user to have to resend a mail, but we've tried
the suggested method before and most people dislike it since it's not easy
to determine who the mail was sent to, them or the terminated user.

Is there a reason you can't simply add the disabled user's SMTP address to
user "such and such"? That way anyone sending to the terminated employee
gets a living breathing person who can update them as to the situation as
opposed to being asked to resend due to an issue at your company. It's a far
better solution from the customer service side of things. Also, user "such
and such" can then monitor incoming mail for the former employee and let you
know when it's acceptable to remove the address completely. Just a thought.

Subject: Active Directory Disabled Accounts

We had a user who recently quit and his account was disabled in Active
Directory. Now, we want to get into his mailbox and setup his Out of Office
Assistant with a message saying "please contact such and such".

However, we can't open his mailbox. I know I saw a Technet article on this
once, referring to Exchange 2003 and Active Directory/disabling accounts,
but I can't find it now.

Thanks.

Robert
