thanks everybody. The company outsourced their email to a third party. Cut a long story short the provider appears to know too much about what's happening inside the company.
It could be a red herring but.. Check the event logs on the Exch server. They will post a log everytime someone opens a mailbox that is not their primary. The only way to remove the entry is to delete the whole log. So if you find you have no, or very small logs, that is also a pointer to something going on.
