If you want to build a formal database, Bento or FileMaker pro is the  
easiest way to go, but your needs sound like they'd be met better with  
something like Circus Ponies <http://www.circusponies.com/> or  
Scrivener <http://www.literatureandlatte.com/scrivener.html>
