First of all, hire a tax professional. You're asking how to get tax information 
from your financial accounting records.

With that out of the way, and I'm not your tax professional, the "I may still 
be owed $500" does not matter (simplified).

GROSS REVENUE CASH BASIS: Simply sum the cash received, and that's your cash 
income for the year. The $500 was not received, so it's not income. On a cash 
basis, the $500 will be income when received (hopefully soon, but nevertheless 
in the future).

GROSS REVENUE ACCRUAL: Assuming your financial accounting is reasonably correct 
(i.e. the revenue is correctly recorded--many complications here), then you'll 
just sum your revenue for the year. The income is recognized at the time when 
it was earned, so once again, the $500 not received does not matter.

The expense side is essentially the same, and then the difference is your 
income. Again, there are many complication here in both revenue and expenses, 
and then there are more complications in tax reporting, so you really need to 
hire a local professional to guide you through your local requirements.
