First, ask for names of parties that would be interested in a group buy in
a relative price range. That would give you a number to go back to
manufacturer for pricing. When you have a fixed price from the dealer, come
back to the list and get firm email commitments from individuals. Once
you've waited a couple of weeks and have your final numbers, ask for
payment (in full) from everyone and notify the manufacturer of the needed
number of systems. Use the early arriving checks as a down payment to the
manufacturer and when the last check has arrived, complete the transaction
with the supplier. Continue to keep everyone up to date on any information
that you have regarding timelines, and ship the product when you get it in
hand. Notify each individual that there system has been shipped and include
a tracking number so they can anticipate it's arrival.

In my original (long) message about an exhaust group buy, I asked for
advice from those of you who've administered these before.

I'd really appreciate any hints and tips you could pass on.  I want to
make sure things live up to expectations, especially as a replacement
exhaust is expensive.
