Planning has begun for IETF 109 Bangkok and as the global COVID-19 pandemic is
still with us, a decision is needed on whether to go ahead with an in-person
meeting or switch to an online meeting. Additionally, if there is a switch to
an online meeting then a decision is needed on the fee structure for the
meeting.

The IESG and IETF Administration LLC propose to use the following timetable for
these decisions:

20 Jul 2020 Consultation opens on the proposed assessment criteria for
determining whether to switch IETF 109 to an online meeting,
and on the proposed fee structure if that happens.

17 Aug 2020 Consultation closes.

24 Aug 2020 Response to consultation communicated and assessment begins
                using the final criteria.

31 Aug 2020 Decision made and communicated.

07 Sep 2020 Registration opens.

14 Nov 2020 IETF 109 begins.

The proposed decision date of 31 August 2020 is 10 weeks before the meeting
date in order to allow sufficient time for any additional assessment process
and switching to an online meeting, if required.

The consultation will recognise that there is a community discussion beginning
in the SHMOO working group on multiple aspects of online meetings, and that any
consensus that emerges there will take precedence.

Comment on this timetable is now welcome and this timetable may change in
response to any comments received.
