Hi,
With only two days left for FreeDel, we had a long meeting to
discuss and speed up the remaining work. Volunteers have been assigned
tasks to do during the event. Details are as follows:
(1) Order for lunch during two days of the event to be placed by Kapil today.
(2) Agenda for the event is to be prepared by Kishore and get it printed today.
(3) We are going to have arrangements for tent on the lawn. Only roof
is to be covered considering the hot and humid condition Delhi is
famous for :-).
(4) Dhwani has been assigned the task to deal with the arrangement of
tents on the lawn. A survey of the lawn is to be conducted tomorrow.
(5) Details of tables and chairs required during the event:
(A) 3 tables for lunch
(B) 5 tables & 6 chairs for registration and T-Shirt selling
desks. Desks are to be placed inside the lobby.
(C) 2 tables for AMD
(D) 20 chairs for miscellaneous purposes
(6) There were discussions on whether attendees will be given
certificates of participation.
(7) Regarding the selling of FSF GPLv3 kurtas as suggested by Gora,
there doesn't seem to be any issues as far as ILUG-D is concerned.
(8) Lawns are to be covered by carpets.
(9) Orders for Nescafe vending machines & required materials, water
dispensers(2 nos.), 20 litres bottles of kinley(4 nos.) to be made
today.
(10) Order for bags has already been placed by Vivek Khurana. (150 nos.)
(11) Accomodation for speakers is to be arranged at JNU guest house.
Remaining ones, if any, are to be accomodated at Gora's and Sudev's
places.
(12) A3 posters of FreeDel to be printed by Gora.(15 nos.)
(13) Coupons for lunch & tea/coffee and badges to be printed by Gora.
(14) 20 connectors to be purchased by viyyer.
(15) Stationaries are to be purchased by Raj.
(16) Backup of all systems in Lab No. 1 at JNU to be taken by Dhwani.
(17) List of equipments needed for talks and workshops to be prepared by Gora.
(18) Workshop lab has a limit of 50 participants with 2 persons
assigned one system for hands on experience. There is going to be 15
systems available.
(19) Kishore has been volunteered for the task of being the official
photographer of the event :-).
(20) There were discussions on whether it would be feasible to
organise a blood donation camp during the event. Tirveni has been
volunteered to contact Red Cross.
(21) Now the most important part of meeting, assignment of tasks for
various voulnteers during the event :-).
(A) Dhiraj and one more volunteer will be responsible for Lab No.
1. They will keep an eye on activities of participants.
(B) 2 volunteers for auditorium: Utsav and one more volunteer
(C) Registration desk and CDs/Tees selling desks: Kapil and Nikhil
(D) Announcements during the event: Anupama
(22) Mayanks has been assigned the task of press release and coverage
of the event.
