I just send them a nice email saying: "Sorry to pester you but in our logs I see that you logon to check your email every minute which generates 2000 or more log file lines per day and makes it harder for us to read the logs when we are trying to protect the server from virus and spam email. Logging in so often also causes the server to work a little harder than it needs to degrading service for everyone else on the server. If everyone did it, it would be pretty noticeable.
Even assuming you got an email every minute you wouldn't have time to read it and respond before the next check would be downloading more. It would make our work easier and the server run much more efficiently if you would please logon every 5 minutes at a minimum and 10 to 15 would be way better yet. My tg email account alone receives about 650 to 750 emails a day and I only log in every 15 minutes at most, which works great. If I am not going to be at my machine I shutdown email. If you need help with your settings please call our support number and we will be happy to help you reset how often you check for email." That seems to work and people normally apologize and fix it promptly.
