ok
to clarify

Name-initails Month 3 letter number to indicate submission itself number
to indicate total you/member's submissions for the month

as in this case of yours from last month:
Ranunculaceae Fortnight: Ranunculus hirtellus from
Kashmir-GSJAN44/44Ranunculaceae
Fortnight: Ranunculus hirtellus from Kashmir- is self evident
GSJAN44/44GS = means your initials
JAN =  month
44 cases submitted (it happens during the family week/fortnight)44 again
means total numbers of cases you submitted.

*So far so good. if you only submit fortnight related cases ...*

If you had submitted any cases outside of the family fortnight subject but
during the same weeks ... how would you designate them...
we perhaps need a third number in there some where?

Like " *Acanthaceae for ID: GSJAN01/44/45: *
01 for non fortnight family number, 44 for 44 cases for the fortnight and
45 for the total of the month ..

Suppose you did not submit any cases for the fortnight
you would simply have :
........... for ID/validation... etc GSJAN01/--/01 for the first case for
January, no case designated for fortnight by --...
