The State of The update is available for download from the Prairie Lakes AEA website at the following URL: http://www.aea8.k12.ia.us/en/technology/electronic_iep/ Dr. Jerry Stremel, the Director of Special Education for Prairie Lakes AEA, has asked Superintendents to contact tech coordinators and ask for their assistance in installing this update on the computers of special education staff within their districts. All electronic IEP users must install this update to ensure correct calculation of time for the state count. Detailed instructions for updating the IEP are posted at the bottom of this message.

If the question is not technical in nature or is in regards to the use of the IEP, please direct your special education staff to contact their AEA building rep. The AEA rep will direct them to someone who can help them answer questions related to the daily use of the IEP. Mike, Rex and Robert would not be the appropriate contacts for items relating to the day to day use of the IEP. On a side note, those of you who have been using the FileMaker IEP are aware the of the issues regarding the backup of IEP data. The State designed the IEP as a stand-alone application that was intended to be run on a local machine and not be shared on a server volume. While they designed a backup routine into the IEP, it relied too much on the end user. As many of you know, the end user rarely (dare I say never) backs up their IEP data making a restore of the IEP impossible at best. The latest version of the IEP includes a safeguard. Each time the application is closed correctly (when the teacher clicks the �Exit System� icon), the program creates a backup of the data within the Iowa IEP Folder. Six text files are created � ExpCust, ExpGoals, ExpIEPs, ExpServ, ExpMform and ExpStnts. These files can either be imported into a corrupted IEP application or imported into a clean version of the IEP. While it does not resolve every issue regarding data backup, it goes a long way to ensuring there is at least some data to try and recover in the instance of an application failure. Finally, the State is also working on an online version of the IEP. This is a web-based version of the IEP that ties in with the States IMS (Information Management System) which is based in Grant Wood AEA. This system allows all staff collaborating on an IEP to do so via a secure Internet connection. Files no longer need to be imported and exported and data backup becomes a non-issue for the local school as all data is housed by the State. This system is nearing completion and you will be hearing more about if very soon. In the mean time, please assist us in downloading the latest version of the FileMaker IEP to your special education staff computers so that your teachers are supplying accurate data for the State count. Please follow the instructions below to update staff to the latest version of the IEP. 1. Rename the existing Iowa IEP folder (ex: �OLD-Iowa IEP Folder�) 2. Next, download the current version of the IEP from the AEA 8 website. When it is unzipped or expanded, the folder will be named �Iowa IEP Folder.� Put this newly unzipped folder in the same location as the folder you just titled �OLD-Iowa IEP Folder.� 3. Open the folder titled �OLD-Iowa IEP� and launch the application by double-clicking the �Iowa IEP� icon. 4. You will be prompted for a password, enter �user�. 5. Click the button titled �Enter the IEP System.� 6. Next, click the button titled �Other Options.� 7. Select the �Export Students/IEPs� button to be presented with a list of all student IEPs. 8. Click the �Select All� button at the bottom of the screen and then click the button titled �Proceed.� Choose FileMaker as the export type, then click the button titled �Exit System.� 9. The �OLD-Iowa IEP Folder� should now contain five text files � ExpCust, ExpGoals, ExpIEPs, ExpServ and ExpStnts. These are the student files you just exported from the IEP. Select all five files and move them into the newly downloaded IEP folder titled �Iowa IEP Folder.� 10. Open the newly downloaded IEP folder and launch the application by double-clicking the �Iowa IEP� icon. 11. You will once again be prompted for a password, enter �user�. 12. Click the button titled �Enter the IEP System.� 13. Next, click the button titled �Other Options.� 14. Select the �Import Students/IEPs� button. 15. When prompted as to the type of import, select �FileMaker� to continue. 16. When complete, a message will appear asking if you wish to view all imported students. Select �Yes� so that you can verify the import was successful. 17. You can now click the �Main Menu� button at the bottom of the screen and then click on the �Exit System� icon to quit the application. The teacher is now ready to work in the new application. ---------------------------------------
