Project Role Definition ITEAM Regional Representative SKILLS AND EXPERIENCE • 10-15 years experience in similar positions (should have worked for complex corporations/global companies) - business engagement and internal communication projects. • Bachelor's degree is a must. Master's or equivalent experience. • Strong knowledge of and leverage within the designated regional area • Good existing relationships with key stakeholders within the regional area • Demonstrable experience of building relationships and commitment at a senior level, including the ability to manage expectations • Leadership, communication, coaching, influencing, presentation and facilitation skills • Some knowledge of business change management, and ideally how this translates within the environment • Ability to understand information and grasp new concepts quickly, enabling understanding of the adoption tools and techniques to be deployed. (IT background would be good and/or a consultancy background) • Tenacity and resourcefulness - the ability to get things done in a complex corporate environment through building relationships with key people across the business • Good writing skills - the ability to draft employee communications (although final edits will be done by staff skilled in employee communications) as well as familiar with MS project. • The contractor should be able to read the project plans although they would not have to create. SUMMARY • This Project is an 18 month global transformation programme designed to transform the way internal IT Services (devices and support) are delivered to 20,000 employees on the Reuters side only. • The project has been going on for 12 months and will most likely last one more year. • This project involves upgrades as well as the deployment of laptops, desktops, etc. to the Americas. • This contractor would ensure staffing is available on the particular floor as well as manage Senior stakeholders in the US. • The Business Engagement Team is the interface between the transformation project and the business with the prime objective of preparing the business for the inevitable changes which will impact employees and managing the expectations of Senior Stakeholders within the Business. • The Business Engagement Team is supported by a number of representatives across the business - Change Agents. • The successful delivery of the THE PROJECT solution to the business areas is dependent on the provision of a well planned and monitored set of business engagement activities to support the deployment of the new solution. • This business case is critically dependent upon change within the business in relation to the purchase and use of new IT services. • A Regional Representative is required to take accountability for these activities occurring within the region. • Each Regional Representative will represent their respective area and will work closely with the other members of the core THE PROJECT Business Engagement (BE) team, and Change Agents across the business to achieve their objectives. • The Regional Representative will sit with the internal communications team at 195 Broadway and will report into the business engagement team. • There will be one specific point of support here in NYC and the majority of the team is in London. Road Shows will be planned at 3 Times Square but the management has been outsourced to a third party. The contractor would be a support in getting these organized. Travel is not likely besides perhaps visiting the London team. • The contractor would hold many conference calls to brief how the transformations would take place and providing any necessary detail to make sure the transformation is smooth. ACCOUNTABILITY • Each Regional Representative will be accountable for the successful adoption of the PROJECT solutions within their respective regions, within the required timescales. RESPONSIBILITIES • Manage the Senior Stakeholder Engagement Plan and Implementation • Represent issues relating to their region at the BE Core Team " Act as a communication point for local regional business management and iteam staff (interface between tech and business to ensure all are on the same page) • Escalate regional risks and issues to the BE Core Team • Provide a coordination point for transformation activity within the region • Review and approve transformation plans for the region • Understand the tools available to you from the core team to assist you with the configuration and adoption of THE PROJECT within the business area • Adapt core communications to reflect local market and culture • Distribute all employee communications • Identify and enable resolution of local issues associated with the adoption of THE PROJECT • Participate in and support local events in support of the adoption of THE PROJECT. • Identify, recruit and manage additional local resources needed to deliver the adoption of THE PROJECT in the business area (as per the plan) • Collate feedback and monitor achievement of the plan on an ongoing basis and adapt if necessary. • Participate in the business wide THE PROJECT Change Action Team (CAT) to ensure agreement of service designs, the resolution of issues impacting adoption progress and the achievement of the THE PROJECT benefits.
