You can try setting your zoom to 75%.
If that doesn't help, try these steps.
Configuring the Display of Microsoft Word and XP

 

Before launching into the use of Microsoft Word on your computer, you are going 
to want to make sure that the display is configured correctly. The screen

readers have files which allow for information to be echoed from the screen. In 
order for the associated screen reader commands to function properly, it

is important that the display be properly configured. This is easily 
accomplished through a couple of dialogs located in the menus of Microsoft 
Word. The

configuration exercise will give you practice in accessing a variety of Windows 
controls as well as the menus of Microsoft Word. If you follow these 
instructions,

you won't get lost and can't hurt your computer or Word application. If you get 
nervous and want to quit at any time, pressing the ESCAPE KEY will stop

Word from making any changes to the application. Follow along with me as we 
configure the display of Microsoft Word. Trust me, it is easier than you think!

 

When Microsoft Word 2000/XP is installed on a computer, it displays its 
toolbars as one entity. This is something which drives the screen readers to 
distraction.

They won't perform certain tasks properly because the display is not set 
properly. The first thing you need to do is configure the toolbars of Microsoft

Word so the standard and formatting toolbars reside on separate rows.

 

The menus of Microsoft Word can also be troublesome. By default, they are 
configured to show only a few commands and, after a few seconds, they will 
expand

to display the rest of the options available. This can cause the screen reader 
to lose focus. By disabling the option to show he most recently used commands

first, Microsoft Word displays the menus normally and the screen readers 
breathe a sigh of relief.

 

The first step is to configure the options that cause the toolbars and menus to 
behave so oddly. To accomplish this, we will access an option within the

tools menu and open a dialog. By unchecking to "check boxes," the toolbars and 
menus of Microsoft Word are configured to display their contents properly.

To configure the toolbars and menus of Microsoft Word, follow these steps:

. Cursor down to customize and press enter. This will open a customize dialog 
with three property sheets. Property sheets are like pages of a notebook which

contain options for a particular aspect of an application. The property sheet 
you need to access is the "options" property sheet. This property sheet is

easily accessed with a shortcut key.

. Press ALT - O to access the "options" property sheet.

. Once the focus of the cursor is on the options property sheet, the TAB KEY 
will cycle the focus of the cursor among the options on the sheet.

Word 2000

. Press the TAB KEY one time until you hear "Standard and formatting toolbars 
share one row. If you did not hear the option spoken, or wish to repeat it,

the screen readers offer this option.

-- Window-Eyes users press CTRL - SHIFT - N to hear the field name repeated.

-- JFW users, press INSERT - TAB to hear the current field repeated.

. The control associated with the toolbars is a checkbox. Use the spacebar to 
toggle the selection of the checkbox off. This checkbox should be unchecked.

. Press the TAB KEY one more time to access the "menus show recently used 
commands first" option.

. Once again, press the spacebar to uncheck this checkbox.

. Press ENTER to save your changes.

The dialog will close and the changes will be saved to the configurations for 
Microsoft Word.

 

Word XP

The dialog will close and the changes will be saved to the configurations for 
Microsoft Word.

 

The View Menu

Once you have completed the configuration of your toolbars, you will want to 
check a few other things in the view menu of Microsoft Word. When certain 
actions

are taken in Microsoft Word, the view can easily be switched to one which will 
display pages as they will be printed rather than a view which presents

the text in a normal fashion without a graphical page view or in a web layout. 
The view should always be "normal." In addition, you will want to make sure

that only the standard and formatting toolbars are displayed. When actions are 
taken on a document, toolbars can also pop into view, you will need to know

how to enable and disable the toolbars in order to maintain the display of the 
application.

 

All of these options are located in the view menu of Microsoft Word. In order 
to enable or disable an option within the view menu, you will need to press

enter on the option. When enter is pressed, the menu is closed and the focus 
returned to the document. You will need to re-enter the view menu to enable

or disable each item.

 

After opening the view menu with the ALT - V keyboard command, the first option 
you should check is the view. It should be set to "normal" which is the

first option in the view menu. If you hear "normal checked" when entering the 
view menu, you know that the option is enabled and all is well. If you just

hear "normal," press enter on the option to enable it and return to the view 
menu with ALT - V.

 

Within the view menu is a ruler option. This should be checked as well. With 
the ruler enabled, the screen reader's configuration or set files will function

properly. If the ruler is not checked, press enter on the option and then 
return to the view menu with ALT - V.

 

Finally, it is time to check the toolbars of the application. Only two toolbars 
should be enabled. The toolbars which should be enabled or "checked" are

the standard and formatting toolbars. To check the status of the toolbars, open 
the view menu with ALT - V and press enter on the toolbars option. This

will open a submenu. Use the arrow keys to listen to the options within the 
toolbars submenu. If anything other than the standard and formatting toolbars

are "checked," press enter on the option to disable the toolbar. Each time you 
enable or disable a toolbar, the focus of the cursor will be returned to

the document window, you will need to press the ALT - V keyboard command to 
return to the view menu.

 

By enabling the formatting and standard toolbar, placing the view in normal, 
and enabling the ruler, you have configured Microsoft Word to work at peak

efficiency with your screen reader. If, at any time, you find that a document 
does not seem to be reading properly, you may return to the view menu and

check to be sure that normal is checked. Many times a document will 
automatically revert to another view. Placing the view back on normal can 
correct many

errors which might be occurring.
