Jerry: Your issues can be simplified considerably by remembering that it’s generally not customary to cite repositories for published items that are widely available, and records online are also considered “published.” With hard to find items, however, I do include the repository in the citation. I also sometimes note the repository for my own purposes, not as a part of the formal source citation but as a privatized note.
