Ever since I did my portfolio for the BCG, I have used the to-do list every
time I write off for a record.  For the portfolio, I had to go back and get
all of the records that I had used databases for (Ancestry.com marriage
databases for example)  One thing that has been very helpful is the
repository list (you attach the repository to the to-do).  Not only does it
allow me to easily access the address and phone number of the repository
(most of the time it is a county courthouse) but in the notes section I can
record the particulars like how much they charge for copies and whether or
not they require a SASE.  This has saved me so much time.  I wrote off for a
couple of marriage licenses from Marion County, MS today and with once click
I had the address of the circuit court and I could see that I needed to
include a SASE along with 25 cents per copy.
