Dave, I suggest you report the greyed out caption etc options as a bug.
I know many include the source and copyright permissions in the Description field for the photo (I think you refer to it as a Notes field). Others add a source for the image to the event to which the image is attached.

I have some images provided/scanned for me from a UK museum, the agreement being of course that they are for my own private use only, for which I happily agreed. Six months ago I needed to use one of these images to help the research and a published website promoting WW1 soldiers from Surrey. Naturally I sought and received copyright permission from that museum, and the Surrey researchers in turn correctly attributed the photograph, so all was well. My dilemma now is that I've been asked by another museum if I could provide further reports (Family or Individual) on other members of that same family, for which I will need further copyright permission. So my questions are I guess: (1) I notice in Chart Reports >> Individual Chart >> Report Options >> Pictures >> Set Regular Picture Options >> Inline Pictures the "Include Caption" choice is greyed out, which is perhaps planned for future releases. This option would've been ideal for words such as "Supplied courtesy of Surrey Museum," to appear as the caption directly under that image. I wondered if the Legacy folk reading this might know when this option might appear in future releases please ? (2) Is there a way to correctly attribute a photograph in a generated PDF report from Legacy ? (3) Just wondered how other users source their own photographs apart from the Caption, Date & Notes when first adding the image I mean ? Thanks Dave Cripps
