I'd like to jump the gun here and suggest that, from my observations, CLUG could use the following officers:

Il Duce (President)
Segretaria (General Secretary)
Tesoriere (Treasurer)
Assistere di Propaganda (Public Relations)
Meetings Co-ordinator
Convener of activities

That's 6 roles. I don't think we need general committee members. The roles entail:

Il Duce:
The public face of CLUG, ie the one who talks to other organisations and high-profile media. Default Chairperson of any CLUG meeting.

Segretaria:
Deals with correspondence and records minutes of meetings (if we want to take any). Usually has to action motions or make sure that the person who should action motions does so. This officer also gets to set the dates of meetings.

Tesoriere:
All CLUG door takings and any outgoings must go through this officer.

Assistere di Propaganda:
The officer who organises the advertising and promotion of CLUG. This includes designing or organising posters, leaflets, membership introduction, etc.

Meetings Co-ordinator:
Each month the details of the meeting should be taken care of by this officer. This person deals with the tea and biscuits, books meeting rooms, ensures the premises are tidy after each meeting. Generally, this officer makes sure that the little details that can ruin a meeting are not forgotten.

Convener of Activities:
The person who fills this role is responsible for recruiting an elite team of hardened "can-doers" for projects like the Installfest. That person is the one responsible for making an event a success.

These officers should follow the direction of the CLUG consensus, however, they get to make the final decision (by vote) regardless of the majority feeling. I can't stress enough the importance that one person may not hold any more than one office. The election of these officers may follow these lines:

Il Duce: Elected annually at AGM - Vote =1 but may decide tie.
Segretaria: Elected annually at AGM - Vote = 1
Tesoriere Elected annually at AGM - Vote = 1.
Assistere di Propaganda: Elected annually at AGM - Vote = 1.
Meetings Co-ordinator: Elected annually at AGM but may be hired or fired by the first four - Vote = 0.
Convener of activities: Appointed on an activity by activity basis (may be more than one when multiple activities are planned) May attend committee meetings but vote = 0.

I suggest this structure because it makes the decision making-process less painful than having eight voting committee members, or 100 CLUG members all with differing opinions. For discussion, do we want non-officer committee members? Probably yes if the executive committee wanted to hold meetings outside of general CLUG meetings. CLUG would also need a constitution, especially if it wants to get really serious and become Incorporated.

Gee this email's gone on a lot longer than I planned. If you're still reading, sorry about that.

Michael.
