Why not set up an Access database for the data entry, and have a map table with the spatial representations of the spaces available as a map.

Then maintain a table for containers in Access. If only one container is ever stored on one spot, you can simply have a field in the container database which references the spatial record for the spot.

Then use a workspace that contains the a query that has a join between the spatial table and the view can be used to display all the current info on the map. You can maintain all the data about containers etc. in Access. When a container is exported, mark it with a spot ID that does not appear, and it will no longer appear in the query, but will still be contained in the database. If you store your spatial data in Access database format, you can use that table's data as a lookup when you assign a container to it.

If more than one space is to be linked to a container or more than one container to be linked to a space, have a relational table that links the spatial data to the container (SPATIALID - CONTAINERID). Then have a query in the Access database that has the container data and the spatial locations that it is stored at, and link to that view in Access instead of the container table.

I supposed we are looking for data entry interface that will allow us to enter all the new details for the container that have just occupied spot 1. This information is ITEM_DESCRIPTION, ITEM_CODE, ITEM_RENTAL_PRICE, RENTER_NAME, etc…
This is so that when we click on the map, it will provide us with an up- to-date information. This way is more efficient that having to upload an excel file each time there are new changes.
