Mailing label without the module
Instructions - (we don't have Map Basic, so this is how I found to
accomplish this task)
1. In Mapinfo select the parcel which requires a Public Notice. Set
editable layer to Cosmetic. Go to Menu Objects>buffer, set buffer
distance to required radius (300), select feet, set segments to 72
(gives nice radiused corners) go back to objects menu> convert regions
to polylines. I do this instead of SQL because if the geocoded symbol
for this table is outside the 300' line it won't be selected.
2. Select Names_XX table symbols (or whatever table you have mailing
info in), (hold down the shift key to select multiple symbols) for
desired parcels. Go to Query Menu> Select choose "selection" from
pulldown. The browser will open and be the active window.
3. Go to Menu Table> export. Choose Tab delimited (default) and check
the "First line as heading" option. Click OK Name the File MI_Mail,
export the file to the same directory as the mailing document (C:\My
documents\Form Letters) if asked to overwrite the existing file choose
yes. (Hint go to Menu Preferences>Options>Directories and add this path
to the "search directories for tables")
4. Open up Excel and select Open File. Open the Tab Delimited file you
just saved - MI_Mail. Note that after the first time you do this there
will be an Excel file named MI_Mail and the Tab Delimited file named
MI_Mail, you can tell the difference by the icon. You dont have to do
anything to this file except Save As a Excel Workbook, and choose to
overwrite the existing MI_Mail. Close Excel.
5. Open a document in Word (mine is named "MI to Excel To Word
address"). The first time you have to set up the mail merge- Menu
Tools> Mail Merge. Select the MI_Mail file from Excel as the data
source. Select the appropriate coloumn names, (see below) Choose merge
to Document. Print (Form Letters1). Take the batch and print your
public notice on reverse side. Run through folder or hand fold. Tape
to close. Postage, mail
Below is the Word layout for the mail merge. it is located in the
middle 1/3 of the page so that it comes out right on our folding
machine. The colomun names probably won't match yours. If anyone has
a better way, I would like to hear about it.
