This management position is responsible for evaluating and implementing internal and public-facing digital initiatives and collaborates with staff to increase efficacy and enable a deeper fulfillment of the Frist Art Museum mission. Essential Job Functions: • In collaboration with management teams, coordinates the design and implementation of information technology goals, objectives, priorities, policies, and procedures; evolves infrastructure to align with changing business needs and new technologies while maintaining best practices for cyber security. • Oversees vendors and the internal technology team responsible for maintaining all hardware, software, license adherence, internet connectivity, internal network, company data, mobile devices, IP phone system, printers, and all audio, visual, and interactive electronics. • Participates in the assessment of technology needs for special projects to determine budgets and timelines for implementation • Supervises and provides for end-user support; assesses training needs and collaborates with Application Specialist to provide necessary training • Partners with the Digital Asset Manager and Archivist to incorporate best practices pertaining to digital asset management, and the preservation of those assets. • Collaborates with other departments to develop efficient digital project management workflows. • Assists staff with employing technologies to improve the experiences of visitors. • Enhances data collection practices to measure key performance indicators aligned with the mission. • Works with staff, volunteers, and interns in a positive and constructive manner. Minimum Qualifications: Bachelor’s degree in computer science, technology, engineering, information systems, or a related field. Equivalent work experience, technical training, and industry certifications may substitute. The ideal candidate will have 3-5 years of verifiable experience working in an IT department with 50-100 end-users. Must be familiar with Office Suites (2007, 2010, 2016), Windows Server 2008/12/16, Windows Active Directory Server Environment, Exchange 2010/2016, DHCP, DNS, Veeam backup systems, VMWare, Microsoft Office 365, Cisco Technologies, Fortigate firewalls. Must be able to document and communicate to a wide range of users. Must be able to accommodate a flexible work schedule and to work weekends and after hours when necessary. This individual will oversee the life cycle of physical and digital assets, including ingestion, metadata tagging, cataloging, description, migration, storage, preservation, security, access, retrieval, and dissemination, working with all departments to define and uphold retention procedures and policies. Essential Job Functions: Digital Assets • Lead and maintain the Digital Asset Management strategy, as well as implementation and administration of workflows within the DAMS, including establishing policies and procedures, maintaining user accounts and permissions, and liaising with the DAMS vendor to ensure integrity of files and backups and other system maintenance and upgrades. • Establish/refine/enforce in-house metadata standards and controlled vocabularies. • Train new staff on DAMS as part of onboarding process. • Facilitate the uploading and retrieval of assets, assist other departments with ingesting and searching for assets, generate asset reports. • Task/help staff to assign appropriate metadata for assets to ensure accurate usage rights, participate in cleanup for existing assets. • Perform quality control on assets. • Ensure compliance with records management and retention policies, laws, and regulations. Physical Assets • Develop a records management framework to inventory, appraise, and assign disposition for active and inactive records; establish procedures for regular transfer of records designated for temporary or long-term storage. • Establish an institutional archive in accordance with standards and best practices for organization, management, and preservation of archival records. • Digitize selected archival records, using safe handling procedures for long-term preservation. • Ensure compliance with records management and retention policies, laws, and regulations. • Ensure safety and security of physical records. Minimum Qualifications: Requirements: Master’s degree in library science, information science, or equivalent professional experience, with strong digital content and/or comparable focus, 3–5 years previous experience with DAMS in a museum or library environment, thorough knowledge of physical and digital archiving theory and practice, as well as field-wide metadata standards, managing born-digital and digitized media assets, demonstrated experience with user support and services; demonstrated aptitude in database management, media cataloging, records preservation, digital rights management, and data migration; strong understanding of records management practices. Skills and Abilities: • Demonstrated knowledge of enterprise-level DAMS and database applications. • Comprehension of metadata standards, digital image file parameters, and intellectual property best practices as applied to cultural heritage institutions. • Experience processing collections of archival materials. • Ability to prioritize tasks, track stages of production, meet deadlines, and participate in budgeting. • Meticulous attention to detail and excellent organizational, project management, analytical, research, writing, and editing skills. • Excellent interpersonal skills, with the ability to work effectively both independently and as part of a team, and to interact well with both technical and non-technical colleagues. • Ability to organize lesson plans and lead software training sessions for staff. • Experience with collections management systems and cataloging software a plus. • Experience with image-editing software a plus.
