Hi MCN community,

We are evaluating our approach to the data surrounding our exhibition records 
and permanent collection installations. We are interested to learn how other 
institutions manage the metadata surrounding their own exhibitions.

At the moment we have basic set of information we capture about our exhibitions 
as part of our business processes (dates, titles, objects and agents associated 
with the exhibition, etc.) which are stored our collections management system. 
But what metadata specifically about your exhibitions do your institutions 
capture? Do you have specific people who add it, and do they have a particular 
method of adding it? Do you use any controlled vocabularies beyond standards 
like the Getty Thesauri or LOC authorities?

We are also very curious if you and store your exhibition/installation metadata 
only in your systems of record, like TMS. Do you capture additional metadata in 
your DAMS beyond what can be replicated from other systems?

Beyond that, we have been investigating the efficacy of capturing more 
descriptive information about exhibitions such as subjects, cultures 
styles/periods, and keywords to assist in discovery. Does anyone else capture 
that type of metadata? If so, how? Do you allow users to create their own 
subjects and/or keywords? If so, do you attempt to control their terminology?

We would be thrilled if you have any institutional best practices you would be 
willing to share.
