Cathy, Ok, you knew it was coming, "what are you waiting for"? We do also sometimes encounter the situation where there is a cancellation somewhere between the PAT and day of surgery. Here's our process: an assessment is completed in PCS (by phone or in person) on a PRE SDC V# that is assigned to the day of surgery. We have an Outpatient (short form) and an Inpatient Assessment. If there is any documentation on that V#, it is not cancelled. In fact, it can't be cancelled. Admitting gets a warning that documentation exists in other applications and it lists them specifically. The assessments stay in the EMR. It sounds like you've thought of a lot of creative workarounds, but I'm only going to suggest what I think you probably already know. You really need to get your documentation electronic, then the patient has to be in the system even if they are just in a pre-registered status, and Admitting won't be able to cancel out your V#'s. The meditech-l web site is MTUsers.com ====================================== Hello, We have an issue where SDC patients cancel their surgical visit after the PAT is completed but before the surgery. The PATs are completed on paper (I know what am I waiting for) and forwarded to medical records. Admitting cancells out the account (or the account has never been created) before we can scan in the paper record. We are thinking about creating a location called "CANCELLED" for these accounts and not physically cancelling out the accounts. The paper record would then be scanned in on this account and could be retreived from the EMR. Therein another issue. Getting Admitting to leave the account open. We scan utilizing VALCO and there is not a hold on the account to prevent someone from cancelling the account. We were thinking the location flag of cancelled might queue them to leave the account alone and also not to use it for another service. Thoughts on this? I am also thinking about having PAT place an order such as "PAT COLLECTED" so that a physicial lock would be placed on the visit. Anyone else have this issue? Any other solutions out there?
