Carla:
This may or may not help, but I wrote a report that captures all the requests and their status (denied, approved, etc) per nursing unit per date range. You could schedule this report daily or BID to the schedulers office and that might help them get the notification for the status of the request. I am on MAGIC 5.5 SR2 Let me know if you need the report in 5.4 or C/S and I will send it to you that way. Good Luck, ________________________________ From: [email protected] [mailto:[EMAIL PROTECTED] On Behalf Of Carla Fuller Sent: Thursday, January 04, 2007 3:00 PM To: [email protected] Subject: Schedule Change requests - Approval/Denial I have a question regarding the Staffing and Scheduling routines. Currently, we have 2 people known as the Nursing Scheduling Department. They handle most of the tasks associated with staffing the nursing floors. We are having a breakdown in communication between these 2 employees and the various directors of the nursing floors. All vacation requests or schedule changes are submitted through Staffing and Scheduling, the request goes to the Director and a Special Request Notify Group that includes the Staffing department members and sometimes the Assistant Director. All approvals and denials must be made by the Director or Assistant Director. The change in status (approval or denial) automatically generates an email to the requestor, but not to the other members of the Special Request Notify Group. The Staffing members often have to follow up with a director, asking them to please address a certain request, etc. It would be so much nicer if the change in status would notify the entire group and not just the requestor. I put in a MIX request, but it was denied. I have listed it below, in case any of you are interested in supporting this type of request. If not, do you have a communication issue like this? If so, how do you handle it? Our Staffing Coordinator is very frustrated with the amount of time spent on follow-up and trying to track these "outstanding" types of requests. Please send any thoughts you may have that could help us make her job easier. MIX Enhancement: NUR #4892764 (Jul 25, 2006) Status: Complete (Sep 12, 2006) Description: SS: Status Change to Trigger Automatic Message Customer Contact: KATIE WOOD ((906)635-4663) Customer Email: [EMAIL PROTECTED] (MEDITECH/AMS Edits) MIX Master: Melissa Keane <mailto:[EMAIL PROTECTED]> 781-774-2512 Last Edit: Sep 12, 2006 at 1747 EDT MIX Product Enhancement Suggestion Submitted by: KATIE WOOD (KATIE WOOD) Phone Number: (906)635-4663 E-mail: [EMAIL PROTECTED] Organization: War Memorial Hospital MEDITECH Technology Platform: MAGIC MEDITECH HCIS Application: NUR Chippewa County War Memorial Hospital: TEST System Version Release and Change Number: 5.5, change: 806 LIVE System Version Release and Change Number: 5.4, change: 1035 Brief Description/Synopsis of Request: An automatic message is to be sent to the "Special Request Notify Group" when the status of a special request is changed. Suggestion Details: Our scheduling staff has been struggling with communication issues for sometime and we have been unable to solve this issue with our current programming/set-up. Directors have the authority to approve or deny a special request, and their efforts are not always coordinated with the scheduling staff. We don't really have a good way of handling this now. If we can set up a way for the status change to trigger a message to the notification group this will allow the scheduling staff to monitor and be aware of the action that the directors have taken. This will improve communication and be less frustrating for the scheduling staff, as well as the staff members who have initiated the special request. Proposed Solution: The NUR dictionary already captures the name of the notification group and the special request already goes to each member of that group, upon submission of that request. Also, an automatic message is already sent to the user who submitted the request, upon status change. It would be wonderful if the Change Status function would trigger the automated message to go to all members of the notification group, as well as the user who submitted the request. It seems like most of the programming is in place (though I am definitely not a programmer and I don't pretend to be.) It would be a matter of linking the automated message (which is already in place) to the group as well as the submitting user. System Impact: This enhancement improves the communication between a scheduling team. It will allow each member to know what the other has done. This enhancement would improve Meditech because it fills in a gap that is missing in the communication feature of Staffing and Scheduling. This enhancement would make our users happier, as they would have a better understanding of the staffing situation. It would also make our users more productive as this information would be at their fingertips and would require less "leg-work." Keane,Melissa (MEDITECH) - Aug 28, 2006 - 1029 EDT: Your suggestion for system modifications has been reviewed by the Mix Task Review Committee. We have determined that your suggestion will not be pursued at this point in time due to the current workload and priorities of our Development group. If additional requests of a similar nature are received from other sites, your suggestion will be reevaluated. Please feel free to contact me with any questions or concerns you might have. Thank you.
