I want to thank everyone who has and is helping me on this project. Anyone who
has taken the Scheduling classes or has tried using the manual to set the
system up knows that it's much more in depth (in real life) than what it seems
in the manual. With that being said, I have sent the responses that I've
received about this in case anyone else out there has the same problem that
I've had, either now or in the future. I have made some of the changes that
have been recommended by everyone in the email, and know that I'll get this
working. Thanks again to everyone who's helped!
Here are the emails starting from the one that I sent:
Hi everyone. Have another (three) questions for you smart people.
We have currently been 'parallel' scheduling in the physical therapy department
for about a month. Everything has been working well. The bugs we found we
were able to be worked out. The problem is: the secretary there in that
department that has been doing all the scheduling is relocating to the Human
Resources department so she won't be scheduling anymore. With this, we have to
'train' the physical therapy staff to know how to schedule. There are 'tricks'
that the secretary and I can do that we're unable to show the staff d/t access.
These are the things I'm having trouble with:
1. Currently, we are unable to schedule an appointment series beyond 1
week. The
secretary and I are even having trouble. We have FULL access are
not even able
to do this. What are we doing wrong? Is there something
in the dictionary that I
have set up wrong?
2. When we schedule an appointment for a patient, we may have a couple
of
different tests or procedures that we need to schedule. Example:
A patient is
booked for a PT appointment, but needs a Speech appointment as
well. These are
two different resource groups, and the system will not allow us
to schedule two
different appointments with two different resource's. Any ideas
here?
3. The secretary at the time was able to change the PT staffs
schedules around to
show when they had a day off, had vacation, etc. She would
go into the
Resources/Schedule Dictionaries and into Resource Schedules
to edit. I can't give
the PT staff access to the dictionaries, so is there
another place they can go to
change their Schedules according to their days off,
vacations, etc.?
I hope I've explained this correctly. If not, please feel free to ask. I
appreciate, as always, Any help anyone is able to give.

Trish, a couple thoughts:
(1) Do you have the "Use The same Resources When Booking a Series?" query set
on page one of the appointment type? More importantly, do you have Dft Pt Type
on page one set to RCR? I think that's what drives the "series" question. If
you're getting the question "do you want to book a series" but are still unable
to get past the week, I would guess it's something in the Resource Schedule
dictionary. That's maybe not much help, but I thought I'd toss it out.
(2) You may need to go to the Resource Schedule dictionary for your two
different resources, and on page one, make them available to both resource
groups (at the top).
(3) The therapists should be able to modify their own schedules by going into
Book View (10), then E for Edit. This brings up the Edit Resource Schedule,
where they can list specific dates & times to include or exclude to tailor
their schedule.

2. You need to build a temp set and schedule it that way. We book OT,PT and ST
all at once back to back. Here is what it should look like. Leave appointment
set blank. Don't make early and late "0" or it won't find anything.

3. You use the Edit off of the schedule not the resource to put in vac etc.
Our therapist are allowed to edit there own schedule but we require them to put
a reason for editing.
If you do not put in a reason the system will overwrite the edit when it
recompiles the schedule.

Trish,
I've setup two physical therapy depts before and will try to recall how... I'm
doing this from memory so if the field names aren't correct, sorry.
Appt Types: I setup a multi-modality type for each scenario (the order the pt
could be seen), PTOTST, PTSTOT, STOTPT, OTSTPT, etc.
List each resource group in the correct order in the appt
type dictionary. This allows the staff to pick the appt type in the order the
pt will be treated. Some pts can't do PT first, etc. I think you need to use
LOCATION in the last field on the first page.
In the Resource dictionary, you'll want to list the other two resource groups.
Resource: PT
Group: PT
OT
ST
You can edit the Resource schedules via the Scheduling Resource routines using
the "E"dit. Make sure the Edit Reasons are set not to be overwritten by the
dictionary. Change the Max of 1 (it could be more based on how many pts they
see in each timeslot) to 0 and it closes the time. If you want the whole day,
change the first timeslot to 0 and delete the rest.
I'm not sure what's causing your series of only 1. It must be a dictionary
error but I can't for the life of me think of what it could be. I'd have to
see it or have more info.

We are a CS 5.5.2 site and we use Community Wide Scheduling for our Physical
Medicine Department. We use our therapists as resources We do not use the
Series appointment function to schedule our patients for multiple appointments.
We use Process Appointment Book function and schedule one treatment and then
copy and paste the rest of the appointments to the other days and time.
We also use the Process Appointment Book routine to edit the therapist schedule
also. We go to the Edit button and make any changes for that day or any other
that needs any changes. We only go to the Resource Schedule dictionary for
permanent changes that need to be made to the schedule.

Hi Trish,
I'll start with #3... Go to process resource or resource group, edit, and then
edit the person's schedule there. You can give the staff access to that on the
verb strip without giving them the dictionaries. I wouldn't edit it the way you
are doing it now. You want to leave the dictionaries alone and only edit for
consistent, more permanent changes not vacations and days off.
#1...On page 1 of your appt type dictionary, did you put a Y or N to the
following question?
Use The Same Resources When Booking A Series? Y
This should then prompt you to create a series. When you book an appt, it
would pop up and say "create series for this patient" and you say yes. Then you
get to the next screen to allow how you want the series to fall, daily, weekly,
same time,....
#2... I am not sure how you are trying to schedule the appts since you should
be able to book a patient for more than one but in separate steps.
