We have a scheduled change control time once a week at an exact time for
our EMR/PCS changes so the users have become used to the 1-10 minute
downtime.  If more than 1 DTS or activity is being performed we have
Meditech open a "M" Master task to co-ordinate the move and complete
their interaction checking.  If a change was missed or slow to get put
in we hold off until the next change control window.
 
For notification we monitor the update.exe file on the Hub server.  This
file is rebuilt every time the EMR services are restarted.  This
monitoring triggers a notification email that goes to all our support
analysts, it also indicates if an update is required on the clients.  A
similar monitoring is running on our Terminal servers which
automatically takes the update while leaving existing terminal services
sessions running.
 
The above processes have made EMR/PCS updates very smooth.
 
For Client/Server DTS's we take them as needed since there's generally
no downtime.  Ring and Service Releases are scheduled off hours so they
are completed by 7am.
 
For Non-Meditech changes we have a 4 hour scheduled downtime every 2
months.  We post the downtime schedule in the summer for the following
year.  We send out an email reminder 2 weeks and the day before.  Our
critical areas we also call just prior to the downtime and upon
completion.  This has allowed us to keep our environment very stable
while allowing us to implement changes and perform maintenance.

Hi, 
We would be interested to know what other Meditech hospitals are using
for a change control process. We would like to implement a new
process/policy and would like to hear from other Meditech sites that
have done so for both Meditech and non-Meditech changes. What process do
you follow, what forms or notification do you use, etc..
