At this point, based on your findings, I’m about 100% positive this is due how
you are currently entering data. For example, as I suspected, this worked for
all groups that
Have the correct meeting date in their system
Are taking all of the steps on the DAY OF collection
In those cases, the bulk entry processes will work. So KEEF should make
efforts in their processes to complete data entry on DAY OF collection (You’ll
find this repeated in my analysis below)
I’m going to leave the bug open for now, waiting for feedback from Perpetua to
my questions below and some further testing.

Here are my follow-up notes from the testing:
1. Blessed Sisters Murengeti, Limuri Branch, Beth loan officer
* However, there was an new issue as on collection sheet there was no longer a
place to enter in repayments of the previous month's Advances
RW: Please elaborate on this as I don’t really know what this means (ie, be as
detailed as possible). Or send a screen shot. Also, did this group get moved
at all or having its meeting date changed at any point in the past?
3. Mwanzo Mwema, Kiambu Branch, Perpetua loan officer
* Group supposed to meet on 3rd Thursday (15 April)
* Group actually met on 4th Thursday (22 April)
* Data entered on 27 April
* Stopped at step three of process: able to see previous month's
advances but not able to disburse the advances from this month that had
been approved using bulk approval
[RW] - This will not work and Mifos is working as expected. I noted this
before when creating the process, that this will only work on the day of
collection. Here, you need to change the meeting date to the correct date and
make an effort to enter in collections the day its done. If you are unable to,
not all of the bulk entry steps will work and you will have to do each item
individually (this is why I highlighted that KEEF should work on having all
collections completed DAY OF collection).
* Disbursed the Advance Loans client by client and the system automatically
sets the disbursal date to 20/5/2010.Changed the disbursal date to 27 April
and on going back to the client advance page the disbursal date yes has
changed but now the normal advance is due on 17/06/2010 and this shouldn’t
be the case, it should be due in may since it’s a month loan.
[RW] - This is also working as expected. The expected date for the disbursal
was in the month of may, meaning the first payment was to be in June.
Releasing early wouldn’t necessarily reset the schedule (Although I’ll admit my
mifos knowledge is a little fuzzy here. After the batch jobs have run, I would
check the schedule again to see if it didn’t adjust the schedule (but I think
it would stay the same). Again, this is where you should be doing this data
entry the DAY OF collection.
4. Umoja Women Witeithie B, Kiambu Branch, Mary loan officer
[RW] - Same as group 3
* Server date and data that group is scheduled should be the
same dates that data is entered into collection sheet and new advance
loans approved
[RW] - Yes, but DO NOT CHANGE THE SERVER DATE. KEEF needs to work on
streamlining their processes to make sure data entry is completed on DAY OF
collection.
* If we key in information past the meeting date can we use the
collection sheet data?
[RW] - Yes, but only for collections, you will not be able to use the bulk
entry loan creation and approval, that will only work on the day of.
* Need to make sure meeting dates and frequencies are
continuously updated after changes are made so we are not entering in
Data
[RW]- Yes. You should add this to your processes to create, for what to do
when meeting schedules change.
Question – How often are center’s changing their meeting times?
