Since the topic came up... I made a detailed database application for entering, displaying, and managing bird sightings. Its called LIFER!, and you're welcome to use try it out if you like. NOTE: You need Microsoft Access 2003 or greater to run it. I am not interested in making money, just offering something I know works for anyone interested.
With this design I've been able to adapt to taxonomic changes, print checklists and target species lists, and use it to manage all North America observations. If you already have data in an electronic format, you would be able (perhaps with a little help) to convert your existing data into LIFER! As with other databases, this one requires a separate entry for every combination of species, time period, & location you want to keep track of. e.g. Great Grey Owl St. Louis County, GGO in Lake Co. in December, and GGO in Lake County in January would all be separate entries... if you want to keep that level of detail. Data entry is simple, but not as simple as adding an "X" to a column.
