Sounds like Windows 7 or Vista. If you are copying the file into c:\program files\mlo\... without admin privilege, it will, in the background, copied to something like this:

c:\Users\muadib\AppData\Local\VirtualStore\Program Files\MyLifeOrganized.net\MLO\Themes\

The files in the VirtualStore are read first by every application (forced through the OS).
