Hi, Christian There are many ways to manage a multi user environment. It would help to know what you have in mind. My friend Olivier has covered some of the possibilities.
Q. Can many users share a single license? A. If you are using the free license you can get a license for everyone. If you are getting the pro license you can install it on several computers as long as they all belong to, and are used by one person, other people need their own licenses. Q. Can you install a single copy of MLO on a shared device that multiple people access? A. I have not seen this addressed but I would guess it's okay so long as there is only one user at a time. If you want to check this, contact [email protected] Q. can you get a deal on a multi-user purchase of multiple licenses A. Don't know, ask [email protected] Q. Can multiple people, each with their own copy of MLO, share tasks? A. As Olivier mentioned, you can create a single profile shared among many people by synching each copy with the others in one of three ways. Note that this involves sharing the entire profile. If you add a task to pick up milk on the way home, everybody will get that task. If you mark a task complete it will be completed on everyone's copy. You can assign contexts to people to try to keep this straight but nothing prevents someone from changing tasks in someone else's context. A1. If several users are on the same wifi network and can "see" each other's devices on the network you can use wifi sync. This works great for two devices. Any time you want more than two devices involved each device has to unpair and re-pair devices whenever it synchs with a different device. It works but can get tedious. A2. If several users are on a network that supports shared network storage, you can use the Windows synch to a file on the shared storage. You will need to establish some sort of concurrency controls so that only one person is has a write-enabled copy of the file open at any one time. A3. You can share a cloud synch account among multiple users. This is the easiest to set up and use and is in my opinion the most reliable. There's a fee, and you must recognize that the cloud storage is essentially on the open internet with only password protection, if your data requires security this may not be for you. Q. Can I keep shared tasks and private tasks mixed in a single profile? A. Yes, as Olivier mentioned, if your profile has a single branch containing all of your sharable tasks you can use advanced options in sync setup (on Windows) to sync just that one branch. You can sync it to another device on wifi sync (excluding Blackberry :-( or you can use sync to a file. For example, you could have a profile with three branches: department tasks, task force tasks, and personal tasks. You could also have a profile with just the department tasks and another profile with just the task force tasks. You could do all your work in the combined file then use branch sync to update the two dedicated profiles. You could then put the dedicated profiles on shared network storage for other people to synch with, or you could synch with the members of the department and members of the task force individually using wifi synch, or you could synch each of the dedicated profiles with a cloud file within a single cloud synch account. Q. Can I delegate tasks, automatically sending notice to the person who receives the task, and get status report updates back that update my copy of the profile? Can I calculate how much time each person spent on a shared task? Can I use project management tools to calculate the critical path or estimate the completion date or generate an automatic invoice for effort expended? A. No This quick overview is pretty much confined to WHAT can be done.
