Hi, Grant. Task management and appointment management are really
different things although they overlap. To me, "schedule a call" is a
task and "have that call" is an appointment. Some day maybe there will
be a tool that is the best task manager and the best calendar in one
tool, but not today.
So I would have a repeating set of tasks that would say
- general preparation
- set up call#1
- set up call#2
- set up call#3
All four would show a start date of the earliest day of the month on
which I could start these tasks and a due date of the day when it's too
late. Maybe I would have another three or four tasks for followup, it
depends how extensive the followup is. On my calendar I would have each
of the three appointments for the calls.
One more thing - maybe some months when the calls are a different week,
the date for making the appointments falls outside of the usual range.
Two solutions:
1. set a reminder in the day you really want to do it. So you might a
task running from the tenth to the sixteenth of each month for preparing
and setting up appointments. Some months you might set a reminder to run
on the ninth or other months you might have a reminder on the seventeenth.
2. or, set the prep task to start as early as possible (it might run
from the ninth to the seventeenth every month. After you finish one
month's calls and followups, look at the following month's calendar. Is
it okey to be starting on the ninth? If it should be later (lets say the
eleventh, create a task with a title "do prep for the three calls on the
eleventh this month", put it into the outline away from the other tasks,
and give it a start date of the eleventh. then go to your prep work task
and make it dependent on the special task you just made. On the eleventh
the special task will come up in your to-do list. Mark it complete and
the rest of these tasks will appear.

Hi All,
My brain is maybe a bit dull the last days, but I can not figure out how
to approach this situation. Any advice is welcome.
I have to review the status of sales issues on a monthly basis. I have
3 areas to dig into, with three different people. I have some general
preparation to do at the start, and then I have to schedule a call with
each and have that call.
While its a generally repeating set of tasks, a) the week I have to do
this in can once in a while change from the ideal (eg 3 Monday of the
month) per month, and b) the eventual date for the actual calls usually
has to be adjusted from the ideal date (already in everyone's agendas)
to match the sellers availability.
So changing dates away from the ideal date, dynamically during one
months cadence, means that will change the dates for all future
repetitions, right? If so, that will cause me problems in the next
month, especially when some calls have been moved to very late in the
cycle in the current month - the next month I will not be reminded (see)
to do them until too late. Also, I will loose my 'ideal' set of dates
that does repeat consistently each month
Does anyone see a way to set this up so I can have a a fixed period for
all future instances, even if I have changed dates earlier, so that I
can start the cycle fresh over again, having the option to adjust dates
again away from the ideal dates? I am hoping for something that does
not require some odd way of doing things, like copying and pasting a
separate tempate each month (because then I have extra work to do that
instead of depending on MLO to manage my reoccurring tasks and if I
forget, then all is lost....)
Thanks,
Grant
